We’re seeking a hands-on, detail-oriented Project Coordinator to support and drive capital and operational initiatives in our dairy processing facility. This role is ideal for someone with strong organizational skills, a passion for process improvement, and the ability to balance technical understanding with team facilitation. The successful candidate will thrive in plant environments, enjoy solving problems, and contribute to the execution of projects that enhance reliability, efficiency, and safety across our operations.
Position Purpose
The position will manage or support small- to mid-sized plant projects — from concept through execution — with an emphasis on production process improvements, preventive maintenance initiatives, and continuous improvement efforts. This role will involve developing project plans, coordinating stakeholders, tracking progress, and facilitating team alignment. A strong understanding of how processes and equipment function at a high level is essential to effectively scope projects, identify risks, and ensure seamless implementation.
As a key member of our project team, this position supports project managers in planning, executing, and closing projects. The role may also manage smaller projects or specific phases of a larger project under the direction of the Project Manager. This role involves developing project plans, maintaining project documentation, coordinating meetings and resources, and tracking project progress.

Required Qualifications

  • Bachelor’s degree in Engineering, Operations Management, Industrial Technology, or a related technical field.
  • 0–2 years of experience in a manufacturing or food processing environment (co-op, internship, or full-time).
  • Strong organization and communication skills — able to lead productive discussions and facilitate alignment.
  • Demonstrated ability to work with technical systems and understand how they affect the larger operation.
  • Familiarity with project management software (e.g., Microsoft Project, Planner) and Lean/CI tools.
  • Experience in the dairy or food industry is a strong plus.
  • Exposure to or certification in Lean or other Continuous Improvement methods is preferred

Responsibilities

Project Coordination & Execution

  • Lead or support capital, operational, and preventive maintenance projects.
  • Scope, schedule, and track execution using formal project management tools and Galloway’s internal PMP process.
  • Manage project timelines and budgets with minimal oversight.
  • Prioritize execution-focused projects (vs. heavy R&D or deep design).

Process Awareness & Technical Acumen

  • Develop a high-level understanding of the systems, equipment, and processes related to each assigned project.
  • Collaborate with operations, maintenance, and engineering teams to ensure solutions are practical and aligned with real-world production demands.
  • Ask thoughtful, technical questions that improve clarity and project effectiveness.

Team Facilitation & Communication

  • Lead structured, timely project meetings to align stakeholders and ensure decision-making.
  • Prepare and distribute agendas, minutes, and status reports with clarity and consistency using M365 tools.
  • Proactively escalate risks, issues, or scope changes to sponsors and leadership.

Problem Solving & Optimization

  • Work hands-on with stakeholders to identify process inefficiencies and troubleshoot production issues.
  • Implement pragmatic solutions that reduce downtime, improve throughput, or increase reliability.

Continuous Improvement & Preventive Focus

  • Support and champion continuous improvement efforts throughout the plant.
  • Partner with maintenance and reliability teams to improve preventive maintenance systems, asset care strategies, and equipment uptime.
  • Capture lessons learned and build knowledge into future projects.
