Job Title: Project Coordinator
Job Summary: We are hiring a Project Coordinator to work with our client who designs, construction, and maintenance of door automation systems.The Project Coordinator is essential to the smooth and successful execution of the sales process. Reporting directly to the Sales Manager, this role provides comprehensive support across all sales activities, including managing documentation, coordinating product logistics, tracking delivery schedules, and liaising with both internal teams and external partners.
To excel in this position, the ideal candidate will possess exceptional organizational abilities, strong attention to detail, and a proactive mindset. Effective communication, problem-solving, and a focus on client satisfaction are critical to success in this role.
Job Type: Full-time, permanent.
Job Location: London, ON
Compensation Structure: 55k-65k per annum (depending on experience)

SKILLS/QUALIFICATIONS:

· Minimum 1 year of experience in a Project Coordinator role
· Education background in Project Coordination, Project Manager, or related
· High attention to detail
· Excellent communication and positive attitude
· Ability to problem-solve and multi-task

Responsibilities

Adherence to Corporate Standards

  • Follow all company systems, policies, procedures, forms, and instructions.
  • Bring any non-compliance issues to leadership for review and resolution.

Relationship Enhancement

  • Collaborate with the sales team to support the success of clients (architects, contractors, end-users) using our products and services.

Project/Order Processing

  • Meet with the sales team, internal teams, and stakeholders to align on project goals.
  • Support the sales team in ensuring timely and successful processing of all projects/orders.
  • Keep all involved parties informed throughout the process.
  • Make sure all processing tasks are completed on time.
  • Estimating: Help with estimating tasks when requested.
  • Quoting: Assist with preparing, submitting, and following up on quotes.
  • Awarded Projects/Orders: Understand the full scope of awarded work and what’s required for success.
  • Submittals: Help create, review, and submit submittal packages.
  • Cut Sheets: Gather product details, create lists, and submit.
  • Templates: Collect required information, create lists, and submit.
  • Work Orders: Help create, review, and submit work orders.
  • Purchase or source products/services accurately and cost-effectively.
  • Help with receiving products if needed.
  • Support shipping/receiving teams with packaging for shipment.
  • Create packing slips and coordinate shipping schedules as needed.
  • Review outgoing products before they ship, when required.
  • Receive products at job sites when needed.
  • Attend client meetings (with the sales team) to ensure clear understanding and execution of project details.
  • Do everything reasonably possible to ensure clients have a positive experience with our firm.

Project/Order Outcomes/Completion (in collaboration with sales team)

  • Review completed projects/orders to assess performance and suggest improvements.
  • Analyze project profitability and confirm all work, paperwork, and Comsense software are marked as “Complete.”
  • Complete or help with project close-out activities.
