GENERAL DESCRIPTION A Project Coordinator is responsible for planning, executing, and supervising projects to meet management’s strategic objectives and to ensure project delivery within budget and on time, in accordance with Private Healthcare Facilities & Services Act (Act 586) and KPJHB group standard process and procedures. JOB DESCRIPTION OPERATIONS -Project and procurement of new equipment or system Prepare proposal and slides Prepare budget and costing Communicate with relevant parties in HQ and authorities. -To oversee the daily construction activities of the site and liaise with Contractor. -To prepare Project brief, master implementation program and cost feasibility study. -Ensure timely completion of the project within the budget in compliance with contract obligations. -Co-ordinate and monitor the project’s progress including liaison with the consultant team and the relevant authority to ensure all projects’ execution are following the local authority’s requirement. -Check all drawings to ensure drawings are well coordinated and developer’s requirements are met. -Initiate and co-ordinate regular site co-ordination meetings and attend all client / consultant / contractor/site meetings. -Check all drawings and documents before calling of tender. -Liaise and coordinate with contract personnel to ensure compliance of documents before calling of tender. -Check and assist the consultant in the compilation and submission of progress claim from contractor. -Co-ordinate with the consultant team in the verification of contractors and consultants’ payment. -Plan, execute and review new construction development program regularly to ensure timely completion. -Monitor and control new construction development processes to ensure the construction budget is closely adhered to. -Perform general contract administration. Carry out pre-delivery joint inspection upon completion of project. Ensure all defects are rectified satisfactorily and signed off. SOP -To provide a structured approach for managing projects effectively, ensuring they are completed on time, within budget and the required quality standard. TECHNICAL AUDIT -Carry out technical audits to identify gaps in technical deliverables and propose solutions to minimize the gaps – Operational, Technical & Clinical. -Formulate and test contingency plan for Facilities Engineering that should include internal and external parties. SAFETY & SECURITY -Ensure that all relevant law, statutory requirement and regulations, clinical requirement and patient comfort related to Engineering services and retrofit/refurbishment projects. -Assist in implementation of identified accreditation requirements such as IMS, MSQH, JCI and Quality Assurance, Health, Safety & Environment to ensure the required quality standards are met. -Ensure patient safety and training of staff in Safety aspects of Building, Facility & Equipment systems and regulatory/OSHA requirements/Medical Device Act (MDA) -Ensure a safe working environment is established and safety awareness is highly evident amongst the employees. OTHER RESPONSIBILITIES -Ensure all policies and procedures of ISO 9001, ISO 14001, OHSAS 45001 and MSQH Hospital Accreditation Standard are adhered to and records maintained, if and when these programs are implemented. -Ensure adhere to The KPJ Way/ Standard People Practice (SPP). -Ensure the policies on patients and family’s rights are addressed at all times. -Ensure compliance to Patient safety goals as safety improvement measures recommended by World Alliance for Patient Safety (2008) -Perform any other duties assigned by the superior. -To carried out duties as an employee as stipulated in Occupational Safety and Health Act and Regulations 1994. JOB REQUIREMENT Education: Degree in Engineering (Civil / Mechanical / Electrical/ Project Management). Skills & Competencies: Registered BEM Special skills are required: Minimum 5 years of relevant experience or an equivalent combination of education and work-related experience Personal attributes: Experience in project management, operation and system maintenance in Healthcare Building, Facility and Equipment Management, Strong leadership and communication skills. Ability to manage time and resources effectively. Working experience with practical knowledge in design installation.
