OVERVIEW:

A private family with multiple luxury residences is seeking a Project Coordinator – Interior Design to support the execution of high-end residential design projects. This role is not responsible for creating designs, but rather for coordinating with designers, architects, and vendors to ensure that approved selections are purchased, tracked, delivered, installed, and documented accurately.
The ideal candidate is very very highly organized, systems-driven, and meticulous in their attention to detail. They will maintain extensive spreadsheets, checklists, and documentation, and provide regular updates to the family to ensure every design decision is executed flawlessly across all properties.

REQUIREMENTS:

  1. Prefer experience in design project coordination, FF&E purchasing, or related field.
  2. Excellent organizational skills and strong proficiency in spreadsheets, task tracking, and documentation.
  3. Detail-obsessed and process-driven, with the ability to maintain and follow checklists and operating procedures across multiple projects.
  4. Prefer knowledge of high-end furnishings, finishes, and design industry logistics.
  5. Strong communication skills and experience dealing with vendors, trades, and professional consultants.
  6. Tech-savvy; comfortable using Excel, Word and potentially project management tools.
  7. Able to travel occasionally for installations, walkthroughs, or vendor meetings.
  8. Maintains discretion, reliability, and professionalism in a private family environment.

Responsibilities

Design Implementation Support:
1. Coordinate with interior designers, architects, contractors, and vendors to carry out the family’s approved design plans.
2. Manage all purchasing and tracking of furnishings, fixtures, lighting, rugs, art, window treatments, fabrics, and décor.
3. Organize, label, and oversee delivery and installation of all design elements at each property.
4. Ensure accuracy in all orders (dimensions, finishes, quantities) per design team specifications.
Project Coordination:
1. Create and manage detailed project timelines and delivery schedules.
2. Track all selections and approvals in organized spreadsheets with vendor info, pricing, lead times, and notes.
3. Communicate with site teams to confirm timelines, site readiness, and installation logistics.
4. Coordinate returns, replacements, damage claims, and reorders as needed.
Budgeting & Purchasing:
1. Manage design-related budgets in coordination with the family and design professionals.
2. Generate purchase orders, process invoices, and track payments.
3. Ensure orders stay within budget and flag any variances or delays promptly.
Organization & Documentation:
1. Maintain an organized archive of all materials and selections for each property and room.
2. Build detailed binders and digital files including spec sheets, photos, warranties, and sourcing info.
3. Create inventory lists and photo logs of all furnishings and materials installed or in storage.
4. Update documentation daily or weekly for review by the family and team.
Communication & Reporting:
1. Provide clear and timely updates to the family on project progress, deliveries, and outstanding items.
2. Prepare summaries, reports, or visual references as needed for quick decision-making.
3. Follow structured procedures and checklists for each task and property.
4. Act as a calm, professional liaison between the family and external collaborators.
