JOB TITLE: ADMINISTRATIVE PROJECT COORDINATOR

Location: Libs Paving Co. (with support to PTI and ASCO)
Reports To: Project Manager and Vice President

JOB SUMMARY

The Administrative Project Coordinator plays a vital role in supporting the Vice President and Project Manager by ensuring the accurate revision, processing, and execution of contract bid documents, bond contracts, and certified insurance policies. This position acts as a key liaison between Libs Paving Co. and contracted clients, delivering timely, accurate, and professional service.
The ideal candidate is detail-oriented, organized, eager to learn, and will take ownership of contract and bond submissions. Over time, this individual will take responsibility for managing the Project Bond Portfolio, tracking daily job costs, and working collaboratively across departments to ensure compliance with contracts and state regulations (INDOT and KYTC).


QUALIFICATIONS

  • Proficiency in Microsoft Excel and Word
  • 35 years of relevant administrative or project coordination experience preferred
  • Strong understanding of Microsoft Office and the ability to learn company database systems
  • Excellent communication skills, both written and verbal
  • Strong analytical, organizational, and problemsolving abilities
  • High attention to detail and a commitment to accuracy
  • Ability to work both independently and collaboratively

Currently in our third generation and located in beautiful Floyds Knobs, IN we are looking for new team members to join our continually growing family. We are a leading asphalt paving, sealcoating, concrete, and pavement marking in the Greater Louisville/Southern Indiana area. Libs Paving owns and operates our own asphalt manufacturing facility, Asphalt Supply Company (ASCO) in Sellersburg, IN as well as our newest facility, Product Transfer, Inc. (PTI) with a new location in Jeffersonville, IN. We provide services to commercial, municipal, State and residential customers.

Responsibilities
  • Gather necessary information to process or renew contracts, bonds, and certified insurance policies
  • Manage all aspects of the Contract Bid, Subcontractor, and Bond processes to ensure accuracy and compliance
  • Collaborate with Project Managers to ensure contract terms are met and maintained
  • Prepare, review, and revise documents related to contracts, subcontracts, and bond submissions
  • Organize and manage project documentation (both electronic and hard copy) with accuracy and efficiency
  • Develop a working knowledge of paving industry terminology, contract requirements, and federally or subcontractorfunded jobs
  • Build and maintain strong relationships with regulatory agencies to ensure project and invoice processing
  • Take ownership of the bid submittal process over time
  • Learn and eventually manage the Project Bond Portfolio
  • Perform other duties as assigned
