Description

The Project Coordinator helps coordinate all administrative duties pertaining to the project delivery process, including but not limited to correspondence with the owner, general contractor, vendor and field personnel. Assists with organizing and controlling release of project documents to support the project schedule. Project Coordinator is also responsible for data input of Agile Construction Management software, as well as COINS for tracking of respective projects.

QUALIFICATIONS, KNOWLEDGE AND SKILLS:

  • High School diploma or equivalent.
  • Project experience with a major electrical contractor.
  • Ability to operate standard office equipment, copier/printer, scanner, plotter, telephone and computer.
  • Solid skills with Microsoft Outlook, Word, Excel, etc.
  • Ability to work well in a team environment.
  • Strength in people management, trouble shooting, systems, process and procedures.
  • Excellent written and verbal communication skills, while being self-motivated and maintaining a positive attitude while working under pressure.
  • Systemic organizational skills.
Responsibilities

This list is not all inclusive and may be expanded to include other duties and responsibilities as management may deem necessary from time to time.

  • Assist in filing and distribution of project specific correspondence, such as bid invitations, bid documents, construction documents, contracts, purchase orders, schedules, etc.
  • Support the Project Manager with initial project setup, such as job request forms, certificates of insurance, cloud document storage, etc.
  • Set up team meetings, take notes and fill out any/all required project specific templates.
  • Create bid proposal letters/bid forms and submit to the owner/client/general contractor.
  • Assist in the tracking of construction costs, such as contracts, change order management, scope revision extras and project/client invoicing.
  • Assist in the tracking of procurement, such as vendor/subcontractor purchase orders, product submittals/approvals, material releases and associated invoices.
  • Track lead times through the use of SSR’s and provide updates to the Project Manager.
  • Assist with the input of budget information within the accounting software COINS.
  • Assist field personnel with other construction related documentation as requested, such as work breakdowns, drawing updates/revisions, requests for information, printing drawings, permits, panel directories, etc.
  • Assist with development/tracking of project specific work breakdown structure, including but not limited to:

    • Agile Construction - Project Setup, such as review of Job Request Start Up Form, Project Information Setup in JPAC® / SIS®, Initial WBS Set Up and WBS vs Estimate review with Project Team.
  • Agile Construction - Project Execution & Tracking, including:


    • Capturing/managing inputs into SIS® and JPAC®, such as Percent Completions, Change Orders, Accounting Hours and Composite Rate.

    • Conducting weekly job review meetings.
    • Communicating outputs and guide action based on JPAC® Productivity Charts, Red/Green Line Trending, Composite Rate Trend and SIS® Pareto Chart.
    • Agile Construction - Project Closure in JPAC® & SIS®.
    • Compile and submit close-out related documentation, such as Operation & Maintenance Manuals, As-Built installation drawings, product record drawings, warranties, certificates, test results, etc.
    • Assists the Project Manager with monthly billings (AIA/SOV).
    • Prepares quarterly financial reviews for review by the Project Manager.
