JOB SUMMARY The Project Coordinator supports the medical equipment planning team by managing procurement activities, documentation, and data entry in Freight Train, Attainia and SharePoint. Key responsibilities include coordinating quotes, orders, and vendor communication; scheduling meetings, site walks, and readiness activities; preparing agendas, minutes, and action items; and tracking milestones, budgets, deliveries, and installations. The role ensures accurate records, facilitates communication across teams, and supports activations, move-ins, and special projects. This position provides critical logistical and administrative support while building knowledge of capital planning, procurement, and construction workflows as part of a project management career path. EXPERIENCE AND EDUCATION Required Education Associate's Degree or equivalent military training or 2 years of college with an emphasis on logistics, project management, biomedical technology or a related field Extensive experience may be used in lieu of formal education Experience 2 years experience providing support and coordination for mid-to-large scale projects Preferred Education Bachelor's Degree Experience 3 years working with medical equipment, hospital logistics, or healthcare construction JOB DUTIES Support the medical equipment planning team by coordinating and tracking activities related to procurement, project documentation, and equipment planning data entry. Assist with quote gathering, order verification, lead time tracking, and vendor coordination; work directly with Supply Chain and vendors to support purchasing workflows. Maintain and update Attainia planning records and SharePoint folders to ensure documentation is accurate, organized, and accessible for project team members. Coordinate and schedule meetings, site walks, and readiness activities with clinical stakeholders, vendors, and internal departments. Prepare and distribute meeting agendas, minutes, and action items; follow up to ensure resolution or completion. Assist in monitoring project milestones, schedules, budgets, and status reports; escalate delays or risks to project leadership. Support change tracking by helping log scope changes, product substitutions, and revised procurement requirements. Facilitate communication across project teams by acting as a point of contact for routine updates, document requests, and scheduling needs. Track installation schedules, delivery timelines, and readiness items in support of activation efforts. Provide logistical coordination support for major move-ins, phased turnovers, and equipment installs. Participate in special projects and department initiatives as assigned. Develop a working knowledge of capital planning, procurement, and construction integration workflows as part of a project management career pathway. Performs other duties as assigned.
