JOB DESCRIPTION: MIND3 PROJECT MANAGER AND COORDINATOR
Mind3 are a small, forward-thinking leadership development firm working out of the UK, that collaborate with global clientele to create and deliver coaching and development programs for people leaders at organizations across numerous industries. All our designs are grounded by neuroscientific principles.
We’re seeking a proactive, curious person with an interest in business and behavioural sciences, to work full-time remotely, and on-site for programs, as a Project Coordinator with us. We work on an associate basis, meaning all executive coaches, facilitators, and project management team (including your role) invoice us monthly for their services. This means you will effectively be self-employed for a guaranteed monthly amount. We are open to working part time or full time.
This role will involve:
- Executive assistance: Personal assistance to our small executive team, including managing our CEO’s diary, scheduling calls, and management of the relevant stakeholders’ needs.
- Project coordination: Organizing programs by corresponding with client, venue, and associates, setting up calls for discussions, on-site management of program flow and administrative queries, managing contracts including budgets and Schedules of Work.
- Design coordination: translating our content into Deck designs for various clients with different needs and cultural credos.
Key skills:
- Proactivity / tenacity: You will be responsible for the holistic oversight of projects, and will work with very busy, high-maintenance individuals.
- Technical fluency: We work remotely and use Microsoft Office 365 and Zoom for everything. Being fluent in these tools is essential. We’re always looking for ways to implement AI and innovation into our work and openness and drive to enable this will be impressive.
- Attention to detail: Many small things can go wrong on big designs. We want you to think of the details including visas, location, timing, technical concerns, catering, required kit etc.
- Financial acumen: You will ensure budgets are adhered to and sign off on invoices from associates involved with your projects.

- AI-enablement: As part of the forward-thinking profile of our ideal candidate, we’re seeking individuals with the interest and knowledge to optimize all elements of our business with AI tools / products / workflow. This is a key interest of most of our clients and enabling us to be AI-fluent will help to ensure our brand remains current and cutting edge.
