JOB SUMMARY:

This Position will provide project support to the Department of Dermatology Chair and Executive Assistant, central administrative team and department leadership. The position partners with Department leadership to identify and evaluate opportunities for efficiency and growth, develop external communication, assist with special departmental events while leveraging technology. This position will be responsible for tracking and coordinating multiple projects within the Department of Dermatology and developing SOPs in partnership with other administrative roles.
Key Responsibilities:

Event Coordination:

  • In coordination with the EA, works on Departmental Sponsored Events
  • In coordination with the EA, coordinates logistics for departmental meetings, retreats, and workshops, including venue booking, catering, materials preparation, and post-event follow-up.

Faculty Recruitment:

  • In coordination with the EA, assists with Coordinating Faculty Recruitment
  • Maintains and updates departmental databases related to faculty recruitment, event planning, project tracking to ensure accurate and timely reporting.

Project Coordination

  • Monitors and assists in drafting timelines for implementation of long-range/short-range plans and projects
  • Works with department leadership to build environments in Microsoft Teams, SmartSheets and other technology platforms in support of leadership requests.
  • Assists in preparing reports, presentations, and documentation supporting strategic initiatives and operational planning.

Operations Administration

  • Serves as a liaison with department leaders, to ensure that organizational goals are met. -
  • Serves as back-up to the EA for Chair calendar needs
  • Works with Department Chair and other department leaders to draft monthly Department newsletters and other internal/external communication.

PREFERRED QUALIFICATIONS:

  • 1 year in a role demonstrating management of progressively more complex initiatives
  • Academic healthcare setting/research institution with experience working with faculty and managing/coordinating projects.
  • 3 years of professional level experience in project management.
  • Experience with large-scale project management, strategic planning and/or consulting
  • Demonstrated experience executing process improvement or project management within academic healthcare setting/research institution
  • Master of Business Administration (MBA) or other related advanced degree.

KNOWLEDGE, SKILLS AND ABILITIES:

  • Strong project management/coordination skills with a self-directed, results oriented aptitude.
  • Must have demonstrated analytical/problem-solving, project management/task planning
    Proven ability in project management demonstrating flexibility, creative problem solving, conflict resolution and drive for results.
