Description

We are looking for a dedicated Project Coordinator to join our team in Ocala, Florida, on a contract-to-permanent basis. This role involves providing critical administrative and project coordination support to senior management within the construction industry. The ideal candidate will bring exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Responsibilities
  • Manage schedules, calendars, and travel arrangements for senior management, ensuring seamless coordination of commitments.
  • Assist in organizing and tracking departmental projects, ensuring timely updates and maintaining accurate records.
  • Draft detailed correspondence and reports, ensuring alignment with organizational standards.
  • Develop and maintain efficient filing systems for both electronic and physical documents, ensuring accessibility and data integrity.
  • Monitor project statuses, compile comprehensive status reports, and follow up on action items to ensure successful completion.
  • Review and process Notices of Commencement with precision, addressing any necessary corrections.
  • Utilize Bluebeam software to create layouts and manage orders related to development projects.
  • Foster relationships with external stakeholders, including public utilities and vendors, to facilitate project research and coordination.
  • Proven experience in administrative support and project coordination, preferably within the construction industry.
  • Proficiency in Microsoft Office tools, including Excel, Word, and Outlook.
  • Strong organizational and time management skills to handle multiple tasks simultaneously.
  • Ability to maintain confidentiality and manage sensitive information with discretion.
  • Proficiency in Bluebeam or similar software for project-related tasks.
  • Excellent verbal and written communication skills tailored to detail-oriented environments.
  • Prior experience working with public utilities, vendors, or external stakeholders is a plus.
  • Adaptable and proactive attitude to navigate evolving priorities and tasks.
