Job Description As a Project Coordinator, you will take charge of managing the end-to-end internal process of lighting supply for large commercial projects. You’ll be at the forefront of assisting customers throughout their sales journey, handling inquiries, and resolving warranty or product fault claims efficiently, all while delivering exceptional customer care. You’ll also become a key member of an energetic, customer-focused team dedicated to providing visually stunning architectural lighting solutions. This role involves collaboration with both internal and external stakeholders, playing a crucial role in ensuring timely, high-quality delivery even under tight deadlines. This position is perfect for someone who thrives in a fast-paced environment, can juggle competing priorities, and is committed to achieving positive outcomes. Ideally, you’ll bring some technical know-how and project estimating experience to the table. Responsibilities Manage: quotes, orders, warranties, complaints, delivery dates, and provide customer updates, ensuring effective communication with clients and the sales team. Organise: planning and scoping sessions, coordinating project activities from specification through to post-installation, ensuring all projects are delivered on time, within scope, and on budget. Oversee project functions: such as registration, quoting, technical sales inquiries, and liaising with internal teams (Production, Planning, Engineering, and Distribution) to ensure timely delivery. Maintain project standards: ensuring tasks are completed efficiently and effectively, while tracking progress through detailed project plans. Record: update, and store project documents and reports efficiently, using systems like Servoy, CRM, MS Office, or Draftsight. Coordinate: internal resources and third-party vendors for seamless project execution, managing risks to minimise disruptions. Measure: project performance, manage changes in scope, schedule, and costs, and report issues to management as needed. Build and maintain: strong relationships with clients, stakeholders, and third-party vendors, ensuring proactive communication and ongoing project success. Qualifications Previous experience in a sales support role, or administrative role in a commercial setting, preferably within the commercial lighting industry. Minimum of 3 years of experience in a commercial support role Desirable Project management experience from a lighting background Proficiency in iAuditor and CRM systems is highly regarded.
