Job Description Summary
An exciting opportunity has arisen for a Project Coordinator to join Service Stream in our Melbourne or North Sydney office.
About the Role
Service Stream’s Telecommunications division are currently seeking a Project Coordinator to join our growing company. You will be responsible for the end to end management of work orders and the related financial administration derived from this. The Regional Project Coordinator is responsible for ensuring compliance to all financial process and standards within the region. The role requires a close working relationship with the Regional Manager and Team Members to assist in driving all financial processes and targets within the region.
Nature of position: Permanent, Full Time
Location: Flexible - Melbourne/ North Sydney
Reporting Line: Regional Program Manager/Project Manager
Key Responsibilities

This role is responsible for :

  • Adhering to relevant contract, commercial and legislative guidelines including WHS regulations.
  • Adopt a proactive and responsive customer service attitude to maintain good working relationships with clients.
  • Be the subject matter expert on work order management process from a financial perspective.
  • Ensure all systems are administered correctly and aligned to the requirements of the program.
  • Ensure all documentation is provided for Invoicing in line with client and company requirements.
  • Assist project team to ensure all sites are fully invoiced within contractual timeframes.
  • Ensure all supplier invoices for the region are returned within 4 business days of receipt.
  • Produce ad hoc reports and reconciliations as required by the business or the client in a timely or accurate manner.
  • Maintain accurate records and supporting documents as required by the contracts and Service Stream.
  • Work with, provide information, advise and assist Program Manager to proactively drive financial targets in the region.
  • Site Tracker NRS Sync: Manage the synchronization process of the Site Tracker, ORION and NRS system to ensure accurate and up-to-date project data.
  • Collaborate with the project team to identify, track and manage high-priority defects for timely closure.
  • Facilitate catch-up meetings with the build team and update the Site Tracker system accordingly.
  • Maintain the Site Tracker system with relevant updates from Build, SAED, etc comments.
  • Prepare and distribute construction related reports to internal and external stakeholders.
  • Maintain Variation trackers, submit final cost to customer and assist to coordinate with the finance team for timely invoicing.
  • Coordinate material returns from subcontractors to client, ensuring accurate documentation and timely processing.
  • Prepare and send high level materials demand planning to suppliers.
  • Ad-hoc related duties as directed

About You

You will also demonstrate and possess the following:

  • Demonstrated experience of working within a project environment.
  • Excellent knowledge of Microsoft Excel
  • Sound knowledge of Microsoft Outlook, Project, Word and PowerPoint.
  • High level numerical analysis and problem solving skills with the ability to provide clear conclusions and recommendations.
