PROJECT COORDINATOR (CONSTRUCTION & DEVELOPMENT) JOB SUMMARY – GREATER TORONTO AREA (GTA)

Reporting to the EVP, the Project Coordinator is responsible for various administrative tasks and supportive activities, managing a high volume of facilities and construction projects, supporting all property locations across Canada, and ensuring that the day-to-day project documentation is accurately maintained and organized within the Canadian portfolio for SmartStop Storage Advisors, LLC/Strategic Storage PM Canada, ULC d/b/a SmartStop Self Storage.

QUALIFICATIONS NEEDED

  • Bachelor’s degree in related field required.
  • Minimum three years’ direct experience required.
  • Experience with AIA (American Institute of Architects) contracts and addendums required.
  • Excellent verbal and written communication skills and interpersonal skills.
  • Excellent organizational skills and attention to detail.
  • Proficient in Microsoft Office Suite or related software.
  • Ability to effectively multi-task while analyzing and solving problems.
  • Self-motivated with a high level of integrity.

Responsibilities
  • Creates and maintains a national vendor network that includes CAPEX and Repair/Maintenance (R&M) vendors.
  • Solicits bids for planned CAPEX and R&M projects from approved vendors.
  • Project coordination responsibilities to include, but not limited to: generating contracts for vendor execution; managing vendor documentation and filing; project coordination with internal team members and various vendors; communicates project updates to team members and corporate stakeholders; enters all project related documentation in to operational system; and ensures projects adhere to agreements, minimum standards, and specifications.
  • Provides support to the internal Construction team by obtaining, processing, and tracking required documentation vendors and outside entities; evaluates and compares contractor and vendor bids to determine award decisions; maintains accurate development budgets and tracks actual costs against original budgets; regularly and consistently communicates with project managers to ensure all requests and timelines are met.
  • Prepares contracts and addendums for U.S. and Canadian projects, ensuring submission of required documentation.
  • Assists Project Managers with all aspects of the General Contractor Close-Out Checklist.
  • Reviews and processes invoices.
  • Provides general office administrative duties to include: scheduling meetings, coordinating appointments, maintaining calendars, managing and ordering office supplies to ensure adequate inventory, managing all forms of incoming and outgoing correspondence, and maintains organized filing systems for physical and digital documents.
  • Prepares reports, presentations, and memos as needed.
  • Assists in planning and organizing company events, meetings, and training sessions.
  • Serves as the first point of contact for visitors, vendors, and internal staff.
  • Performs other duties as assigned.
