Description

Veritas Association Management, a fast-growing Association Management and Meeting Planning company specializing in medical sub-specialty associations, is seeking a Part-Time experienced Project Coordinator with experience. This hourly contractor position may transition into a Full-Time opportunity depending on SAIA funding.
Position Summary
SAIA’s Project Coordinator supports the planning, execution, and evaluation of initiatives aimed at advancing the organization’s mission. This role involves coordinating activities, managing resources, and collaborating with internal teams, external partners, and sponsors. The Project Coordinator will ensure projects are coordinated, completed, and delivered on time in addition to being within budget and aligned with organizational goals as directed by SAIA’s Board & CEO. The ideal candidate must be comfortable communicating with physicians in leadership positions within societies, demonstrate strong written and verbal communication both internally and client-facing, administrative, and organizational skills, and the ability to balance multiple priorities. The Project Coordinator will have the ability to work independently on projects, from conception to completion, with oversight from the ED and the AD as needed.

Position Responsibilities:

  • Project Coordination:Assist in developing project plans, timelines, and budgets. Track progress, manage tasks, and ensure milestones and deadlines are met.
  • Administrative Support:Prepare & update reports, presentations, and documentation. Maintain project records, spreadsheets, databases, and filing systems. Coordinate logistics, such as scheduling meetings with SAIA Board, Veritas, partners, and sponsors.
  • Social Media & Newsletter Support:Coordinate social media presence including posting schedule, preparing content with graphics. Create and coordinate newsletters, impact reports, and e-blasts.
  • Compliance:Draft policies and procedures and ensure staff, volunteers, and projects adhere to all organizational policies and procedures, legal requirements, and funder guidelines.
  • Event and Outreach Support:Assist in organizing virtual and in-person events. Coordinate volunteers, discussion guides, invitations, etc.
  • Grant and Reporting Support:Help prepare sponsorship proposals and grants, track funding requirements, and compile reconciliation reports for funders.
  • Research and Analytics:Evaluate how to support project goals, analyze data, and provide insights to improve outcomes. Help with research coordination as needed.

Qualifications:

The ideal candidate will have the following qualifications and skills:

  • 1-3 years relevant project coordination and healthcare/nonprofit experience is preferred.
  • Experience with grant/sponsorship writing or fundraising preferred.
  • Knowledge of the organization’s focus area (e.g., health education & research in the IBD community) preferred.
  • Experience working with communities requiring healthcare access & support preferred.
  • Strong organizational and time-management skills with attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office, project management (e.g., Trello), social media, and data management systems.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Familiarity with budgeting and financial tracking.
