Opening Date March 14, 2026 Closing Date March 12, 2026 Job Requisition Number JR101447 PROJECT COORDINATOR (Open) Pay Grade U00826 A Classification Project Coordinator Class Definition GENERAL STATEMENT OF DUTIES: To assist in logistical planning and execution, review of programs and administrative functions of the Elections Division as assigned; within a warehouse setting to organize, assist and direct subordinates to fulfill agency responsibilities as described in Title 17 of the of the Rhode Island General Laws as well as achieve agency goals and objectives. SUPERVISION RECEIVED: Works under the general supervision of the Director of Elections and assists in carrying out the directives and policies established by the Board. SUPERVISION EXERCISED: Assists the Director of Elections supervising warehouse staff, seasonal employees and contracted vendors. ILLUSTRATIVE EXAMPLES OF WORK PROFORMED: To be responsible for assisting the Director of Elections by planning, coordinating, and administering the complex logistics necessary for the preparation and conduct of elections throughout the state. To be responsible for managing the complete inventory of the Board’s voting equipment assets, including ballot tabulators, ballot marking devices; ballot on-demand printers, electronic poll books, drop boxes, ballot receptacles, voting booths, supply boxes, and all accessories. Such responsibility shall include coordinating with other staff and vendors to perform, when required, periodic scheduled maintenance, repair, preparation, and testing of voting equipment as required under state and federal laws and board regulations for the conduct of elections, as well as making periodic requests to the Director of Elections for additional replacement equipment when needed. To be responsible for managing and maintaining a sufficient inventory of elections forms, documents, signage, and supplies necessary to conduct elections at early voting sites as well as at the polling locations throughout the state. This includes periodically coordinating with staff any updates to signage and documents when necessary due to new procedures, laws, or regulations, and coordinating with print vendors for production and timely delivery of these necessary items to the Board. To be responsible for managing and supervising staff and seasonal employees for the timely preparation and packaging of all voting equipment, supplies, and ballots for timely delivery to early voting sites and polling locations. To be responsible for coordinating and scheduling with the staff and/or a delivery services vendor and local election officials for the timely delivery of all necessary voting equipment and supplies to and from the Board’s warehouse facility for early voting sites and polling locations necessary for the conduct of the election. To be responsible for coordinating the logistical requirements for the conduct of election recounts and post-election audits; including the coordination of timely delivery to the Board all ballots and documentation necessary to conduct all recounts and audits, as well as assisting with the development and oversight of recount and post-election audit procedures as authorized under law and by the Board. To be responsible for establishing procedures and coordinating with staff and other state and federal agencies, as needed, for the periodic inspection of all new and existing polling locations within the state to ensure compliance with state and federal laws, including access for voters with disabilities, as well as assisting the Director of Elections in determining adequacy of any proposed polling locations based on established best practices or procedures. This also includes preparing schematics or diagrams of polling locations intended for distribution to the cities and towns as guidance for the setup and operation of their polling locations in compliance with state and federal laws. To be responsible for recruiting, training, and assigning election day technicians. To assist in conducting training of local election officials and pollworkers as needed. To assist in the planning, supervision and review of new and existing programs and administrative functions as assigned. This includes to directing subordinates to fulfill agency responsibilities as described in Title 17 of the of the Rhode Island General Laws as well as achieve agency goals and objectives. Responsible for compiling complex and detailed statistical and non-statistical reports and spreadsheets to the Director of Elections relating to the planning and preparation for the conduct of elections, and on all work performed on voting equipment, inventory management and needs, and other reports requested. Research a wide range of election and voting topics; gather and compile statistical data; assist and respond to requests from federal, state and local officials and agencies, public and private organizations and the general public; act as a liaison with election officials and assist in other office-related duties as may be required. To initiate, plan, develop, implement, and review new and existing programs and projects as assigned. To perform other related duties as required. Manage the inventory of all election forms, documents, signage, and supplies necessary to conduct elections at early voting sites and polling locations throughout the state. Manage the preparation and packing of all equipment, supplies, and ballots for delivery to early voting sites and polling locations. Coordinate with staff and/or a delivery services vendor for the timely delivery of all voting equipment and supplies to/from the agency’s warehouse. Coordinate the logistics necessary to conduct election recounts and post-election audits, as well assist with the development and oversight of recounts and post-election audits as authorized under law and by the Board. Develop and implement programs for the periodic inspection of all existing and new polling locations, and coordinate inspections with staff and other related state and federal agencies as needed. Prepare schematics or diagrams of polling locations. Coordinate the recruitment, training, and assignment of election day technicians. Assist in the conduct of training election officials as needed. Produce detailed statistical reports and spreadsheets containing both historical and current data on polling locations, voter turnout, voting method, polling place staffing, and other data points as required. Assist in various office, clerical & administrative tasks, as required. Conduct research on a wide range of election and voting issues and respond to requests from federal, state and local officials and agencies, public and private organizations and the general public.
