Description Position Summary The Project Coordinator provides vital operational and administrative support to Program Managers. This is a task-based, hourly role focused on data entry, data analysis, and the smooth execution of daily project logistics. The ideal candidate will possess strong critical thinking skills and moderate technical ability to manage submittals, drawings, and invoicing, while acting as a reliable communication bridge between customers and internal teams. Key Responsibilities Project Logistics & Admin Administrative Task Execution: Complete daily tasks assigned by Program Managers to keep projects on schedule (e.g., meeting minutes, action-item tracking, and follow-up). Submittal & Drawing Management: Coordinate, track, and manage the logistics of project submittals, technical drawings, and documentation approvals. Invoicing Support: Assist with the preparation, tracking, and processing of project invoicing and financial documentation. Data & System Management Data Entry & Analysis: Execute daily data entry and basic analysis to ensure all project timelines, budgets, and tracking sheets are 100% accurate. System Maintenance: Maintain internal project management tools and databases to reflect real-time project status. Communication Inbound Triage: Interpret email requests from customers and teammates to identify required tasks, insights, or information needed. Information Transmission: Provide clear, professional transmission of project updates and timelines to customers as directed, and accurately route customer feedback back to internal teams. Qualifications Technical Proficiency: Proficient use of Microsoft Excel (navigating spreadsheets, formulas, and data tracking). Familiarity with Microsoft PowerPoint and other Microsoft Office/Project tools is highly desired. Problem Solving & Data Interpretation: Proven experience reviewing and interpreting data to catch inconsistencies or extract needed information. Strong critical thinking skills—the ability to understand why a task is being done, not just how to check the box. Work Style: Self-starter who takes initiative and requires minimal day-to-day direction once trained. Highly organized with excellent attention to detail, especially when handling logistics like invoicing and technical drawings. Performance Metrics Training Ramp-Up Time: After an initial 30-to-60-day onboarding period, the individual requires minimal day-to-day oversight for routine Excel data entry and communication tasks. Follow-Up Execution: The coordinator proactively follows up on open action items before the Program Manager asks them for a status update.
