Working closely with the Project Manager and wider project team, you will play a key role in supporting project delivery by coordinating mobilisation activities, maintaining compliance requirements, managing project documentation, and providing administrative support throughout the entire project lifecycle. This role is ideal for someone who thrives in a fast-paced environment, enjoys working with multiple stakeholders, and has a strong focus on organisation, compliance, and project support. Key Responsibilities Project Coordination & Administration Support the Project Manager and project team with the planning, coordination, and delivery of projects. Coordinate project meetings, prepare agendas, record minutes, and track action items. Assist with project reporting, schedules, registers, and project documentation. Maintain project records, mobilisation trackers, training matrices, and personnel registers. Provide general administrative and coordination support across project activities. Mobilisation & Workforce Coordination Coordinate mobilisation and demobilisation activities for employees and contractors. Arrange site access, inductions, training, medicals, travel, accommodation, and roster requirements. Monitor and maintain workforce compliance, competencies, licences, qualifications, and certifications. Liaise with employees, contractors, labour hire providers, training organisations, and medical providers to ensure mobilisation requirements are met. Compliance & Document Control Coordinate contractor onboarding and compliance documentation. Maintain accurate employee and contractor records in company systems. Support document control activities, including document management, filing, distribution, tracking, and archiving. Assist in maintaining compliance with client, company, and statutory requirements. Provide support with SAP administration, purchase requisitions, timesheets, and project administration tasks. Stakeholder Support Act as a key point of coordination between site teams, engineering, procurement, HSEQ, HR, contractors, and clients. Support continuous improvement initiatives relating to project coordination, mobilisation, and administrative processes. About You To be successful in this role, you will have: Previous experience in a Project Coordinator, Project Administrator, Mobilisation Coordinator, or similar role within the Resources, Mining, Engineering, or Construction sectors. Experience supporting site-based projects and workforce mobilisation activities. Strong understanding of contractor compliance, onboarding, and workforce coordination requirements. Excellent organisational, time management, and communication skills. Strong attention to detail with the ability to manage multiple priorities simultaneously. Proficiency in Microsoft Office Suite, including Word, Excel, Teams, PowerPoint, and SharePoint. Experience using SAP and document management systems; exposure to Aconex, InEight, Pegasus, or similar platforms is highly regarded. A proactive, team-oriented approach with the ability to work autonomously and build strong stakeholder relationships.
