We are currently looking for a proactive and detail-oriented Project Coordinator to support the successful execution of construction and restoration projects. This role plays a critical part in managing project administration, facilitating communication across teams, tracking financial and scope-related items, and ensuring projects are completed efficiently and to a high standard of quality. CORE RESPONSIBILITIES Project Administration Manage the full project lifecycle, including assembling estimates, notifications, and manifests. Maintain accurate and up-to-date project documentation and files using HubSpot and other internal systems. Communication & Liaison Serve as a central point of contact between Project Managers, field teams, vendors, warehouse staff, insurance adjusters, and customers. Ensure clear, timely, and effective communication across all stakeholders. Financial & Scope Management Track contracts, invoices, and submittals. Prepare change orders, supplements, material allowances, and detailed scope sheets. Operational Support Provide daily project status updates and maintain project schedules. Collect site reports and logs. Assist with material purchasing, coordination, and delivery tracking. Problem Solving Proactively identify and remove obstacles that could delay project completion. Foster collaboration and alignment among all parties involved. Quality Assurance Facilitate customer warranties and certificates of completion. Ensure projects meet quality standards and are restored to pre-loss condition, driving high customer satisfaction. REQUIRED EXPERIENCE & QUALIFICATIONS 1–3 years of experience in construction or restoration project coordination, or in a high-level administrative role supporting operations. High school diploma or GED required Bilingual English/Spanish is required. Proficiency in Google Suite. Experience with Xactimate and/or CRM software such as HubSpot is highly preferred. Experience with LLMs/AI tools and content generation is a plus. Strong mathematical skills and a basic understanding of financial reports. Exceptional listening, verbal, and written communication skills. Strong phone presence and confidence communicating with clients and partners. A true “go-getter” with grit, a sense of urgency, and a proactive mindset. Highly detail-oriented and able to work independently in a fast-paced environment. Flexibility for occasional overtime as needed.
