PROJECT COORDINATOR

Vecos is looking for a proactive and structured Project Coordinator to support both our Field Operations and Customer Onboarding teams.

Responsibilities

You’ll be the operational backbone for two departments: Field Operations and Customer Onboarding. You’ll make sure everything is in place for our engineers and onboarding managers to execute their projects efficiently. You’ll bring structure, follow up, spot gaps and connect the dots.
Your scope is wide, but your impact is direct:

Field Operations

  • Maintain contract overviews for all external partners.
  • Monitor and update engineer certifications.
  • Coordinate training and certification via our Vecos Academy.
  • Support with FieldBuddy administration (NAV/BC).
  • Be the go-to contact for engineers regarding FieldBuddy App issues.
  • Ensure all US teams and international partners are under contract.
  • Monitor recurring issues and help organize structured follow-up with the FieldOps team.
  • Manage photo/video documentation.
  • Support SLA administration.
  • Import terminal data into FieldBuddy via internal reporting.

Customer Onboarding:

  • Trigger onboarding-related actions (e.g., trainings, site visits).
  • Push administrative project status updates (e.g., status 400).
  • Centralize document templates, welcome emails, planning forms.
  • Manage project file documentation and stock data.
  • Liaise with cabinet builders on lock installation needs.
  • Review and process partner timesheets and material reports.
  • Centralize and maintain product documentation.
  • Follow up on competitive analysis updates.
  • Coordinate product introduction and documentation flows.
  • Handle returns and route them to the correct teams.
  • Keep drawings organized and accessible.
  • Support overall process quality reporting.
