Project Coordinator, Remote CT/ET Position Summary The Project Coordinator provides essential support in planning, organizing, and executing business operations projects across Warner Pacific. Working under the guidance of experienced project managers, this role helps manage project documentation, track deliverables, and coordinate communication among stakeholders to ensure timely and accurate execution. This role may assist in gathering requirements, performing data analysis, maintaining reporting, and supporting testing and implementation of technology solutions that drive efficiency, productivity and quality. The Project Coordinator builds foundational project management skills, contributes to process improvement efforts, and supports cross-functional collaboration—helping to ensure operational alignment and successful project outcomes. Responsibilities * Support planning and execution of project tasks from initiation to closure. * Assist in developing and assigning project timelines, scopes, and deliverables. * Coordinate assignments and track progress with internal teams and vendors. * Prepare reports and documentation for status meetings and updates. * Facilitate internal communication across departments (Ops, IT, Sales) for aligned execution. * Support lessons-learned sessions and help implement improvement actions. * Help define and document best practices and workflows. * Provide timely updates to project plans.   Communication/Collaboration * Draft clear project updates and summaries for stakeholders. * Communicate deliverables, changes, and dependencies effectively. * Ask clarifying questions to ensure full understanding of assignments. * Proactively communicate changes in project scope, identify potential roadblocks or barriers, and assist in creating contingency plans. * Work closely with cross-functional teams to support project execution. * Foster teamwork and mutual respect among peers and stakeholders. * Actively listen and contribute to discussions with a collaborative mindset.  *   Reporting  * Maintain and update key reports and dashboards that track operational performance, productivity metrics, and technology adoption.  * Conduct basic data analysis to support business reviews, identify trends, and inform decision-making.  * Assist in collecting and validating data from various systems to ensure accuracy in operational reporting.  Process Improvement & Innovation * Participate in team discussions aimed at improving project delivery. * Provide suggestions to streamline documentation and task coordination. * Support pilot testing of new tools, systems, or methodologies. * Document current workflows and assist in identifying inefficiencies and areas for enhancement.  * Support implementation of updated workflows and technologies that reduce manual tasks and improve turnaround times.  * Support the development of internal tools and resources using available software such as Excel, Lucidchart, and other business applications to streamline processes and support team efficiency.  Expected Leadership Qualities  * Demonstrate ownership of tasks and accountability for timelines and deliverables.  * Take initiative in surfacing problems or opportunities for improvement and follow through with thoughtful solutions.  * Work effectively in a team environment, contributing to a culture of innovation and continuous learning.  * Maintain flexibility and adaptability in response to changing priorities or new systems.  Market & Product Knowledge * Build a foundational understanding of Warner Pacific’s offerings. * Develop awareness of industry trends and how they affect project needs. * Demonstrate an understanding of internal tools, products, and services. Skills and Requirements * High school diploma or equivalent. * 2 years of experience in an administrative, operations support or project coordination role. * Exposure to cross-functional projects or process improvement initiatives.[CM5] * Proficiency in Microsoft Office and familiarity with CRM (e.g. Salesforce), related operational systems and workflow documentation a plus. * Experience assisting in the creation of project schedules, tracking deliverables and preparing status reports.  * Strong organizational skills to manage schedules, track milestones and maintain project documentation. * Basic understanding of operational workflows and project management principles.  * Proficient using project tracking tools (e.g., Asana) and collaboration platforms (e.g., Slack). * Effective written and communication skills to relay project updates and coordinate with project team members. * Strong attention to detail to ensure accuracy of project data, reporting and documentation. * Experience in health insurance, employee benefits, or a related industry is a plus.  * Demonstrated foundational analytical skills by gathering and interpreting data, synthesizing information into clear reports, and providing basic insights to support process and system improvements under guidance.  * Proactive in identifying issues and proposing solutions. * Must be able to travel and work flexible hours as needed. Compensation * Hourly Range: $26.29 - $35.05 per hour.  * Actual compensation may vary from posting based on work experience, education, and/or skill level. * * The hourly or salary range is the range Warner Pacific in good faith believes is the range of possible compensation for this role at the time of this posting.  The Company may ultimately pay more or less than the posted range.
