ROLE PURPOSE This is a builder's role at the centre of LionsBot's CEO Office. You will own grant project management and lead inter-departmental strategic initiatives — creating the project management infrastructure that doesn't yet exist, while simultaneously keeping live projects on track. You'll work directly with the Chief of Staff, interface with every department in the company, and engage with external stakeholders including government bodies, partners, and vendors. This role suits someone who thrives in ambiguity, builds structure from scratch, and takes pride in making complex things run smoothly. KEY RESPONSIBILITIES · Manage all active grant projects end-to-end: compliance tracking, milestone reporting, documentation, and deadline management · Lead inter-departmental projects assigned by the COS — from scoping and stakeholder alignment through to delivery and post-project review · Interface with external stakeholders — government bodies, partners, vendors, and clients — professionally and independently on behalf of the CEO Office · Build and maintain the CEO Office's project management operating system: templates, trackers, and status reporting cadence · Run structured project check-ins and produce concise status updates for the COS and senior leadership · Actively leverage AI tools (e.g. ChatGPT, Claude, Notion AI, or equivalent) for research, drafting, and workflow efficiency · Support the COS on strategic initiatives, research, and ad-hoc execution tasks · Act as a coordination hub across departments — managing accountability without direct authority REQUIRED QUALIFICATIONS · Minimum 3 years of experience in a project management, strategy, operations, or chief-of-staff adjacent role · Demonstrated end-to-end ownership of cross-functional projects (scoping through delivery) · Comfortable interfacing with external stakeholders — government bodies, partners, vendors, or clients — professionally and independently · Actively uses AI tools (e.g. ChatGPT, Claude, Notion AI, or equivalent) in day-to-day work for research, drafting, or workflow automation · Strong written communication: project briefs, status updates, and stakeholder memos must be clear and actionable · Prior experience in a startup or SME environment (50–500 headcount) is an advantage · Experience working with or reporting into an Asian headquarters is an advantage Working location: Changi (will be shifting to Punggol from May 2026)
