JOB SUMMARY

We are currently looking for a Project Manager to join our Business Operations Function within the Safety and Surveillance group.
This is a full-time opportunity, on a 12 month fixed term contract/internal move or temporary promotion basis. The role will be based in 10 South Colonnade, Canary Wharf London, E14 4PU. Please be aware that this role can only be worked in the UK and not overseas.
Government departments and agencies are working towards implementing a minimum 60% attendance in office sites.
We are currently implementing a flexible, hybrid way of working, with a minimum of 8 days per month working on site to enable the collaboration and contact with partners and stakeholders needed to deliver MHRA business. Attendance on site is driven by business needs so depending on the nature of the role, this can flex up to 12 days a month, with the remainder of time worked either remotely or in the office. Some roles will need to be on site more regularly.

WHO ARE WE LOOKING FOR?

Our successful candidate will have:

  • Excellent organisational, time management and prioritisation skills.
  • Able to multi-task and balance competing priorities and react to multiple requests
  • Degree or equivalent qualification in a relevant discipline, e.g., pharmacy, science, medical engineering, medical physics, biomaterials or healthcare professional qualification or equivalent qualifications or relevant work experience.
  • Recognised programme management qualification and experience is desirable, coupled with scientific expertise in a relevant discipline
  • Programme management skills and experience with the ability to work on different projects within the same time period, providing information on complex and technical matters.

Responsibilities

WHAT’S THE ROLE?

The Project Manager will work with the Business Support and Data Analytics team, providing a range of services, regulatory and business support to the Chief Safety Officer and to functions across the Group.
The post holder will provide comprehensive operational and administrative support to the Safety and Surveillance Group, supporting the Business Support and Analytics team’s operational and strategic activities to ensure that all projects deliver to time.
The post holder will provide a Secretariat function to the Chief Safety Officer (CSO), providing diary management for Safety and Surveillance business/staff meetings and a range of other meetings and initiatives as required, ensuring accurate minutes and allocation and tracking of actions. In addition, the post holder will be responsible for managing the work coming into the CSO’s office to ensure timely allocation across the Group and will support the business in preparing draft presentations and delivering horizon scanning activities and research as required.
The post holder will be responsible for supporting the tracking of projects across the Group to support the Business Support and Analytics team in defining the objectives, activities, deliverables, benefits and developing risk registers, and will play a key role in governance and working with stakeholders, to support the business in ensuring the agreed project outputs are delivered to enable benefit realisation.
The post holder must have the project management experience and organisational skills to balance a varied range of tasks and requirements to ensure successful project delivery.

KEY RESPONSIBILITIES:


  • Perform diary management activities for the CO including but not limited to: diary/calendar management and coordination, managing travel and expenses, booking internal/external meetings, liaising directly with a wide range of internal and external stakeholders to prepare agendas and professional presentations, coordinating the complete and on-time delivery of briefings, and serving in a front door ‘gatekeeper’ role for the CO.

  • Act as the Secretariat for S&S Senior Management/staff meetings/external meetings and ad hoc meetings as required. This includes co-ordinating a programme of work for Group Meetings to ensure key functional work is communicated and to ensure outputs from the meetings are implemented.

  • Co-ordinate administrative work such as monthly reports, patient enquires, training and development, Freedom of Information requests, media inquires etc by tracking progress and ensuring timely delivery.

  • Support project management activities including progress tracking, coordinating completion of key deliverables, stakeholder management, organisation and prioritisation of key actions.

Certain roles within the MHRA will require post holders to have vaccinations, and in some circumstances, routine health surveillance. These roles include:

  • Laboratory-based roles working directly with known pathogens
  • Maintenance roles, particularly those required to work in laboratory settings
  • Roles that involve visiting other establishments where vaccination is required
  • Roles required to travel overseas where specific vaccination may be required
