Project Management Administrative Support Associate
Position Overview
The Project Management Administrative Support Associate plays a key role in assisting the project management team with day-to-day tasks and organizational needs. This position ensures that project managers have the resources, documentation, and administrative support required to deliver projects efficiently. The individual will manage project records, track timelines, prepare reports, and coordinate internal communications, helping the team stay organized and on schedule.

Key Responsibilities

  • Provide direct administrative support to the project management team, assisting with documentation, scheduling, and reporting.
  • Maintain accurate project files, ensuring all contacts, correspondence, and supporting materials are properly stored and easily accessible.
  • Input and update project details in databases.
  • Track and communicate lead times to clients and internal teams, ensuring realistic expectations are set and met.
  • Assist with preparing project reports, presentations, and status updates for internal use.
  • Coordinate internal communication between sales, operations, accounting, and other departments to support project workflows.
  • Help with vendor and manufacturer setup tasks, including organizing paperwork and ensuring follow-up is completed.
  • Support the team with order processing and tracking, ensuring information is current and accurate.
  • Provide backup support for project managers when needed to maintain continuity of work.

Job Requirements

  • Strong organizational and prioritization skills with exceptional attention to detail.
  • Proven administrative experience supporting a team or department.
  • Excellent written and verbal communication skills for clear internal coordination.
  • Proficiency with data entry, documentation, and reporting; experience with project management a plus.
  • Ability to manage multiple tasks and deadlines in a fast-paced environment.
  • Team-oriented and flexible, with a proactive and solutions-focused mindset.
  • Positive demeanor and patience with ambiguity.
  • Industry knowledge helpful but not required.
