OVERVIEW:

Reporting to the Director of IPMS Enterprise Solutions, this role is primarily responsible for overseeing the successful implementation of Intellectual Property Management Systems (IPMS) for our clients. The ideal candidate will have a proven track record of managing complex projects, strong technical knowledge of IPMS platforms, and excellent communication skills to collaborate with cross-functional teams and clients. This role is critical to ensuring the timely and successful deployment of IPMS, from project initiation through to post-implementation support.

Education and Experience: Undergraduate degree in Business, Information Technology, Engineering, or a related field (or equivalent work experience):

  • 5+ years of experience in project management, with at least 2 years specifically managing IPMS or similar enterprise software implementations preferred.
  • PMP, PRINCE2, or equivalent project management certification required
  • Knowledge of intellectual property preferred.
  • Experience with Agile project management methodologies required.
  • Proven experience managing end-to-end implementations in a software or technology environment.
  • Experience with change management processes, especially in large-scale organizational transformations.
  • Experience working with law firms, patent attorneys, or in-house legal/IP teams is a distinct advantage.

SKILLS:

  • Excellent written, oral communication, and interpersonal skills, and ability to interact diplomatically with all levels of law firm and corporate personnel.
  • Exceptional attention to detail, analytical, troubleshooting and problem-solving skills
  • Expertise in project planning, scheduling, budgeting, and risk management.
  • Understanding of IPMS tools, software architecture, and technical infrastructure.
  • Ability to identify problems early, analyze them, and implement effective solutions.
  • Ability to lead teams, manage multiple stakeholders, and make decisions under pressure.
  • Strong client service orientation, ensuring customer needs are met and exceeded.
  • Thrives in a collaborative, fast-paced environment and takes full ownership of delivery while building strong internal and external relationships.
Responsibilities

PRINCIPAL DUTIES & RESPONSIBILITIES:

  • Lead the end-to-end management of IPMS implementation projects, ensuring the delivery of projects within scope, time, and budget constraints.
  • Develop detailed project plans, including schedules, resource allocation, and milestones.
  • Define project objectives, deliverables, and key performance indicators (KPIs) in collaboration with stakeholders.
  • Serve as the primary point of contact for clients throughout the implementation process.
  • Establish and maintain strong relationships with clients, ensuring clear communication of project status, potential risks, and necessary adjustments.
  • Manage client expectations and ensure satisfaction through consistent updates and proactive issue resolution.
  • Coordinate with internal teams, including integration services, software developers, business analysts, and intellectual property specialists, to ensure project goals are met.
  • Assign tasks, monitor progress, and provide leadership and guidance to team members.
  • Foster a collaborative environment to address any challenges and maintain project momentum.
  • Identify potential project risks early and develop mitigation strategies.
  • Proactively manage changes in project scope, schedule, and costs.
  • Resolve issues and roadblocks efficiently to prevent delays.
  • Track project budgets, ensuring costs are managed within agreed-upon limits.
  • Ensure proper allocation of resources (personnel, tools, and technologies) to meet project requirements.
  • Monitor project progress against financial and resource metrics to maintain alignment with organizational objectives.
  • Ensure that deliverables meet client expectations and functional specifications.
  • Coordinate training sessions for end-users to ensure successful adoption of the IPMS.
  • Oversee the transition to support and post-implementation care, ensuring a smooth handover to client teams for ongoing use and optimization.
  • Provide regular updates to senior management and stakeholders on project status, milestones, and potential challenges.
  • Ensure all project documentation is complete, accurate, and organized for future reference.
  • Work on special projects and other duties as assigned by management
