OVERVIEW

We are seeking a highly organized and proactive Project Manager Executive Assistant to provide comprehensive administrative support to our PM team in our new home construction business. The ideal candidate will possess exceptional multitasking abilities and a strong attention to detail, ensuring that all tasks are completed efficiently and effectively. This role requires a blend of administrative experience, personal assistant skills, and the ability to manage various projects simultaneously while maintaining a professional demeanor.

REQUIREMENTS:

  • Proven experience as a Project Assistant, Administrative Assistant, or in a similar role within a project-driven environment.
  • Strong organizational and multitasking abilities with an ability to prioritize effectively.
  • Proficiency in project management software such as builder trend and office tools (Excel, Word, etc.).
  • Strong communication skills, both verbal and written, with the ability to liaise effectively with stakeholders and team members.
  • High attention to detail and ability to follow tasks through to completion.
  • Problem-solving skills and the ability to take initiative when issues arise.
  • Ability to work independently as well as within a team.
  • A positive, proactive attitude with a willingness to learn and adapt in a fast-paced environment.
  • High school diploma or equivalent required; associate or bachelor’s degree in a related field preferred.

PREFERRED QUALIFICATIONS:

  • Previous experience in a project management support role.
  • Knowledge of project management methodologies (Agile, Waterfall, etc.) is a plus.
  • Basic understanding of budgeting and financial tracking.
  • Familiarity with risk management practices.
    Job Type: Full-time
    Pay: $60,000.00 - $80,000.00 per year

Responsibilities
  • Project Coordination: Assist the Project Manager in planning and executing projects from inception to completion, ensuring they are delivered on time and within budget.
  • Documentation & Reporting: Help prepare and maintain project documentation, including project plans, timelines, budgets, and progress reports. Ensure all documentation is up to date and accurate.
  • Schedule Management: Assist in managing project timelines, coordinating meetings, and ensuring that deadlines are met. Help schedule and organize team meetings and project reviews.
  • Task Management: Track project tasks, milestones, and deliverables to ensure they are completed on time. Help coordinate resources and support team members in completing their tasks.
  • Communication Support: Serve as a liaison between project team members, stakeholders, and vendors. Assist in drafting and distributing project updates, emails, and meeting minutes.
  • Risk & Issue Management: Help identify potential project risks or issues and escalate them to the Project Manager. Monitor and track issues to ensure timely resolution.
  • Budget Assistance: Support in tracking project expenses and ensuring that the project stays within budget. Assist in preparing cost estimates and budget reports.
  • Project Reporting: Assist in preparing regular status reports for internal stakeholders and clients, ensuring they are informed of project progress, risks, and changes.
  • Resource Coordination: Help coordinate the allocation of resources (people, equipment, etc.) across various project tasks. Ensure team members have the tools and information needed to execute their roles effectively.
  • Project Tracking Tools: Maintain and update project management tools such as builder trend to keep track of deadlines, progress, and assigned tasks.
  • General Support: Provide general administrative support to the project management team, including preparing presentations, organizing project files, and assisting with logistics.
