Description The Project Manager / Integrator is responsible for planning, executing, and delivering complex, multi-discipline projects across public safety, command and control, utilities and any other market Xybix Systems decides to enter into. This role will establish, build, and manage the Project Management & Integration function from the ground up, including the development of processes, tools, standards, and documentation. This is a hands-on, foundational role that combines project delivery with operational design. The Project Manager / Integrator will serve as the single point of accountability for project execution while creating scalable systems to support future growth. Key Responsibilities Project Delivery & Execution · Manage end-to-end project execution from kickoff through closeout · Develop and maintain project schedules, budgets, and work plans · Coordinate internal teams, vendors, subcontractors, and customers · Manage scope, change orders, risks, and issue resolution · Ensure projects are delivered on time, within budget, and to define quality standards · Oversee multi-discipline work including but not limited to: o Light construction o HVAC and electrical coordination o Network and data infrastructure o Video walls, AV, and integrated technology systems o Acoustics, lighting, and flooring · Act as the primary customer-facing project lead Process Development & Department Build-Out · Design and implement project management processes from the ground up · Create and document Standard Operating Procedures (SOPs), including: o Project intake and handoff from sales o Project planning and kickoff o Scheduling and resource coordination o Vendor and subcontractor management o Change management and approvals o Risk management and escalation o Project closeout and documentation · Develop reusable templates such as: o Project charters o Project plans and schedules o Budget and cost tracking tools o Change order forms o Status reporting formats o Closeout checklists · Establish project governance, approval thresholds, and escalation paths Financial & Performance Management · Track project costs, forecasts, and margins · Support accurate billing, invoicing, and project closeout · Identify opportunities to improve margin, efficiency, and delivery consistency · Contribute to KPI development and performance reporting Cross-Functional Collaboration: Serve as the operational bridge between Sales, Engineering, Operations, Finance, and external partners; support pre-sales planning and ensure compliance with public-sector requirements. Requirements · Project management experience in complex, technical, or construction-adjacent environments · Experience managing multi-discipline projects with multiple stakeholders · Strong understanding of scope, schedule, cost, and risk management · Excellent written and verbal communication skills · Ability to work independently and build structure in an evolving environment Preferred · PMP (Project Management Professional) certification or ability to obtain · ENP (Emergency Number Professional) certification or ability to obtain · Experience in public safety, utilities, transportation, or critical infrastructure environments · Familiarity with AV, IT, network, or systems integration projects Key Competencies · Process builder and systems thinker · Highly organized and detail-oriented · Comfortable operating without established frameworks · Strong decision-making and prioritization skills · Customer-focused with a professional presence · Financially disciplined and results-oriented
