Job Summary: In this role, organization and attention to detail are critical to overseeing the lifecycle of customer orders from inception to completion. This role is pivotal in ensuring seamless coordination between various departments and timely project completions. You will need to possess strong project management skills set. Responsibility is for defining project scope/goals, managing stakeholders, leading cross-functional teams, establishing timelines, milestone tracking, managing project budgets, mitigate risks throughout the project, and ensuring deliverables meet the customer requirements. Ultimately driving customer satisfaction and project success. Key skills include organization, attention to detail, communication, and strategic planning. Work Description: Customer Order Management: Work closely with the sales team to understand customer requirements and specifications. Ensure accuracy and completion from Customer Services department on all the deliverable on the customer sales order. Project Planning: Develop project charter, project scope and timelines (long & short plans), project budget, including setting targets for milestones and adhering to deadlines based on project requirements. Coordinate with all departments to review ensure adherence to project schedules. Create and maintain project records within the ERP system & SharePoint. Execution of Project: Coordinating with Project Engineering Manager for the activation of Engineering phase to ensure the completion of Engineering work (Design, Drawings, BOM, updating ERP) for next phase of the project. Coordinate with Supply Chain department for the activation of Supply Chain phase to ensure the completions of sourcing, procurement processes for required materials based on BOMs. Ensure part delivery schedule & inventory levels aligns with project & throughout the project timeline. Coordinating with Quality Department for the activation of Quality phase to ensure the completion of quality requirements to meet MVP quality standards & customer requirements. Coordinate with Production department for the activation of Production phase to ensure the completion of planning, scheduling, job release, and production completion. Coordinate with salesman & logistic department for the activation Customer completion phase to ensure that product delivery, monitor installation (based on sales order), & closing out any customer conversation/ involvement. Coordinate with Finance Department for the activation of Finance phase to ensure the milestone billing / invoices has been completed with project milestones. Progress Tracking: Monitor project progress against budget cost, timelines, and milestones. Address any delays or issues that may impact project schedules & budget. Serving as a point of contact for project teams when multiple personnel/departments are assigned to the same project to ensure team actions remain in synergy. Ensure all resources (site personnel, production schedules, cost) are still aligned with project charter & goals until project completion. Monitor any risks during the project to help create a risk mitigation plan & communicate with upper leadership. Project Communications: Provide project status updates based on leadership requests. Communicate project milestones and completions to finance and other stakeholders. Participate & lead meetings with multiple departments. Other Responsibilities: Ability to have solid technical understanding & ability to help define requirements through a project lifecycle. Strong analytical & problem-solving skills to manage shifting project priorities, demands and timelines. Ability to learn quickly, understand & apply new technologies. Ensure adherence to legally binding requirements and meet MVP & Customer quality requirements. Capture all the lessons learned during the project & review with all the department leadership team to prevent repeated occurrences. Preform project budget analysis after project closer to ensure actual project expense aligns up with project budget. Ability to shift between projects & other responsibilities of the job. Requirements Minimum Qualifications: Bachelor’s degree in business administration, engineering, or related field (preferred). Or have equivalent years of experience. 2+ years of experience as a Project Manager or 3+ years of similar position as department manager in manufacturing or production environment. Proficiency in MS Word, Excel, and Outlook, Knowledgeable in MS Project, Viso, PowerPoint. 3+ years utilizing strong analytic skills to understand business needs. In-dept knowledge of the technical aspects of manufacturing & engineering. Strong knowledge of ERP systems and their application in project management. Excellent organizational and multitasking abilities. Exceptional communication and interpersonal skills. Ability to collaborate effectively with cross-functional teams, including sales. Ability to thrive in a fast-paced, deadline-driven environment. Attention to detail and problem-solving skills. Physical Demands: Ability to sit or stand at a desk for 6-8 hours per day. Ability to lift and carry up to 20 lbs. Other physical activity may include standing, climbing, grasping, kneeling, stooping, bending, and reaching. Willing to travel up to 25%.
