Location: Platypus Marine, Inc. – Port Angeles, WA
Job Type: Full-Time
Position Overview: The Project Manager Assistant (PMA) is responsible for providing administrative support to the Project Manager (PM) by coordinating project documentation, scheduling vendors, tracking deliverables, and maintaining communication with the project stakeholders. The PMA is expected to stay informed of the status of all active projects and, in the absence of the PM, ensure projects continue progressing according to plan.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Strong ability to multitask and assist on multiple projects simultaneously
  • Excellent organizational skills with strong attention to detail
  • Effective interpersonal and communication skills, both oral and written, for interaction with all departments, employee levels, and external customers
  • Proficiency with PC applications, including Microsoft Office (Word, Excel, Outlook); Experience with database or project management systems a plus
  • Physically able to perform essential job responsibilities

QUALIFICATIONS:

  • Associate’s degree in business, project management, or related field preferred; equivalent work experience considered.
  • Experience in an industrial, shipyard, or government contracting environment preferred but not required.
Responsibilities

  • Assist in preparing customer work orders and supporting project documentation
  • Attend weekly progress meetings with customers as required
  • Maintain and update project production / GANTT charts
  • Track and maintain the project workbook, including all costs (materials, subcontractors, and labor)
  • Compile and submit weekly progress reports
  • Write procurement requests, coordinate with vendors, and arrange delivery/start dates for parts and subcontractor services
  • Obtain and document price quotes from sub-contractors
  • Assist in preparing customer invoices
  • Monitor project pipeline and notify PMs of upcoming project milestones or deadlines
  • Track deadlines for all required project submissions
  • Maintain project files and records in an organized and compliant manner
  • Process CFR’s (Condition Found Reports) on contracts when needed
  • Maintain a well-organized working environment
  • Assist with special projects and other duties as assigned
