Overview Manage payment‑related projects including dividends, interest, trust distributions, tax statements and periodic statements to ensure all client payments and communications are delivered accurately and on schedule. Provide guidance to clients on new payment facilities and maintain effective communication with internal stakeholders to ensure all client deadlines are consistently met. Key Accountabilities and main responsibilities Strategic Focus Foster a culture that supports MUFG Corporate Markets’ strategic goals and values, strengthening the organisation’s reputation for quality registry services. Stay up to date with industry developments and share relevant knowledge with the team. Develop and implement continuous improvement initiatives to enhance client service and operational practices across the business. Review proposed Reinvestment Plan terms and conditions to ensure alignment with the registry system and provide recommendations to support efficient implementation. Continue to develop knowledge of the securities and related industries through formal learning and self‑education. Operational Management Allocate resources and prioritise workloads to ensure tasks are completed accurately, efficiently, and in line with the risk‑controlled framework. Support the Manager in establishing and maintaining national precedents for all payment and mailing activities, including tax statements, Periodic Statements, and related actions. Ensure all payment and mailing projects are completed 100% on time, within budget, and in line with client and legislative requirements by applying strong project management practices. Work collaboratively with the Treasury Services Payments team to provide resources and support for all outgoing payment and mailing requirements. Maintain strong communication with Treasury Services Payments, Operations, EPS, Investor Services, Treasury Operations, Investor Communications, and CRG to ensure timely and effective information flow. Participate in Oscar process improvement initiatives, including upgrades, testing, documentation, and change control. Attend operational, client, and staff meetings as required. Assist the Manager with reporting, invoicing, revenue provisions, and forecasting. Perform general administrative duties and other tasks as assigned by the Manager, Treasury Payments. Prepare and provide direct credit facility advice to clients and liaise with clients’ banks to ensure all requirements are fulfilled. Provide payment‑related support services, including stationery design assistance and coordinating design proofs. Attend client meetings when required. Maintain strong working knowledge of the registry system, imaging systems, and all other applications used within the business. People Leadership Provide regular performance feedback through the State Manager and support the delivery of semi‑annual and annual reviews. Deliver on‑the‑job training and follow up to ensure staff have the required skills and knowledge. Delegate challenging tasks to encourage development and maintain ongoing cross‑training and multi‑skilling within the team. Contribute to staff KPI development and participate in half‑yearly performance rating discussions. Support staff in resolving complex enquiries, complaints, and technical issues. Governance & Risk Support all compliance, audit, statutory, and risk management processes and ensure deadlines are met. Maintain an in‑depth understanding of relevant regulations, including Corporations Law, ASX Listing Rules, and internal procedures. Ensure the Payments Policy and Procedures Manual is accurate and up to date. The above list of key accountabilities is not an exhaustive list and may change from time-to-time based on business needs. Experience & Personal Attributes Tertiary qualification in business/financial markets/law or a related securities industry discipline. Proven experience managing payment services and reinvestment plans. Strong understanding of the securities industry and financial markets, including relevant legislation and rules such as Corporations Law, ASX Listing Rules and Business Rules, particularly as they relate to payments. Demonstrated ability to manage multiple projects end‑to‑end, including planning, execution, and delivery within agreed timeframes and budgets. Well‑developed analytical and problem‑solving skills. Effective written and verbal communication skills, including the ability to negotiate, engage with stakeholders, lead teams, and represent the organisation professionally in client meetings. High level of initiative, motivation, and organisational capability, with the ability to set priorities and work independently under tight deadlines. Proficiency with project management and analytical tools such as Microsoft Project and Microsoft Excel. Flexible and adaptable, with the capacity to meet demanding deadlines and work extended hours when required. Ability to prepare and manage project budgets, analyse financial information, and produce clear management reports. Strong team‑oriented mindset and the ability to collaborate effectively with internal and external stakeholders.
