JOB PURPOSE

Directly responsible for the coordination and delivery of project management and administration for the large, multi-disciplinary research project ‘Our Heritage, Our Stories: Linking and searching community-generated digital content to develop the people’s national collection’ (OHOS): http://ohos.ac.uk, by the Arts and Humanities Research Council through their Towards a National Collection programme: https://ahrc.ukri.org/research/fundedthemesandprogrammes/tanc-opening-uk-heritage-to-the- world/. The project is led by the University of Glasgow, with project partners at the University of Manchester and The National Archives.
The postholder will be responsible for implementation of all project objectives and delivery of key outputs, and to provide wide-ranging professional and organisational support to the Principal Investigator. The post will include oversight of all project activities; researching and drafting reports and presentations; interacting with key internal and external contacts; and proactively and independently managing key aspects of project delivery.
The postholder will report to the Principal investigator, Professor Lorna Hughes, and the post will be based in Information Studies in the College of Arts.

MAIN DUTIES AND RESPONSIBILITIES

  1. To plan and deliver effective operational support for the management and administration of the AHRC-funded ‘Our Heritage, Our Stories’ project, including oversight of project milestones and deliverables across partners and collaborators to ensure successful completion of the project.
  2. Support PI and their project management team in oversight of overall project development, delivery and progress, to ensure successful delivery of the project.
  3. Maintaining the overall project plan, updating where appropriate, and ensuring synergies with Risk Register.
  4. Establish and maintain appropriate links to ensure the successful flow of information and strong relationships across the project partners and key stakeholders, including organising and coordinating relevant meetings.
  5. To proactively plan and organise the development of project activities and workshops, and monitor the implementation of these activities, which are to be delivered by the project partners and collaborators.
  6. Coordinating all project partner relationships, acting as first point of contact for external partners and collaborating organisations, including new partners providing content and expertise where required.
  7. To coordinate and oversee implementation of the project’s engagement and dissemination plan.
  8. To coordinate and organise outreach and Impact events.
  9. Coordinate project reporting, arrange and participate in regular project review meetings including monthly workstream reports. annual reviews, and support project closure.
  10. To provide specialist advice and support for all queries relating to the project.
  11. Working with PI and their project management team to organise and manage the financial and business processes to ensure all aspects of the project deliver on their forecasted budgets and key performance indicators.
  12. Monitor and manage the allocation and spend of budgets.
  13. To provide management information, forecasting and analysis to support project, school, college and university requirements.
  14. Support PI and their project management team with the creation and maintenance of the project risk register, GANTT chart, Action Logs etc in support of the overall project.
  15. To actively lead the management of knowledge created by the project and support the development of the impact and innovation pipeline related to the project.
  16. To proactively identify and implement opportunities to improve administrative systems, processes and procedures in order to improve the management of project delivery.
  17. Undertake any other relevant project management support duties as required.
