Responsibilities

ROLE PURPOSE

As an Administrator supporting the Project Management function and Office Operations, you will play a crucial role in ensuring the smooth running of both projects and the office environment. Your responsibilities will include handling administrative tasks, coordinating communication, managing office logistics, and maintaining accurate records. You will support the Project Manager and the wider team, ensuring efficiency, organisation, and adherence to project timelines while also overseeing day-to-day office management. This role would be split with 70% of the time being focused on project administration.

KEY RESPONSIBILITIES

Project Administration & Coordination:

  • Assist the Project Manager with day-to-day administrative tasks, including document preparation, data entry, and maintaining project records.
  • Help track project timelines, update project schedules, and ensure key milestones are monitored and reported accurately.
  • Serve as a central point of contact for internal teams, clients, and vendors, ensuring clear and professional communication.
  • Assist in sales order processing, and raising purchase orders when required, ensuring documentation is complete and aligned with project requirements.
  • Maintain up-to-date project files, contracts, and correspondence, ensuring version control and easy retrieval of information.
  • Support the Project Manager by logging and monitoring risks, issues, and change requests, ensuring they are addressed promptly.
  • Assist in maintaining strong relationships with clients, suppliers, and internal teams by managing inquiries and following up on outstanding actions.

Office Management:

  • Oversee general office operations, ensuring a well-organised, efficient, and professional working environment.
  • Manage office supplies, stationery, and equipment procurement, ensuring stock levels are maintained.
  • Handle incoming and outgoing correspondence, including mail, emails, and phone inquiries.
  • Ensure office facilities are maintained and liaise with vendors for repairs, IT support, and office services as needed.
  • Assist with onboarding new employees by preparing workspace arrangements and necessary documentation.
  • Support health and safety compliance within the office, including keeping records of risk assessments and ensuring a safe workplace.
  • Coordinate travel and accommodation arrangements for team members as required.

This role is essential in ensuring the seamless execution of projects, supporting the team in delivering high-quality outcomes, and maintaining an efficient and well-managed office environment.

Pay: £25,000.00-£35,000.00 per year
