About the role The Project Officer will provide essential administrative and operational support to the Head of Design, Head of Construction, and Property and Capital Works Project Managers. This role ensures the smooth day-to-day running of major development and minor works projects by managing invoices, coordinating supplier communications, maintaining project documentation, and assisting with compliance and reporting requirements. The role will be pivotal in ensuring the delivery of high-quality, sustainable, and operationally efficient built environments aligned with HammondCare’s mission and values. This role is a permanent full-time position based at St Leonards with hybrid opportunities. What we can offer you We care about your wellbeing at HammondCare and as a result offer a wide range of health and lifestyle benefits including: NFP salary packaging ($15,900 tax free) plus meals and entertainment benefit (up to $2,650 tax free) Additional leave purchase options and 14 weeks paid parental leave Flexible working options, including hybrid arrangements Discounts on everyday products and services Discounted healthcare memberships - access to network of fitness centres and pools for employees and families Free access to independent counselling support for employees and families Health & Wellbeing programmes Reward & Recognition programmes Referral bonuses Career and professional development opportunities Key Responsibilities include Project Administration & Documentation Maintain accurate and up-to-date project documentation, including contracts, permits, and project schedules Organise and track project files, ensuring accessibility and version control Assist in preparing project status reports and presentations for internal stakeholders Support project managers in day-to-day project coordination tasks Supplier & Contractor Coordination Act as the primary point of contact for suppliers and contractors regarding administrative matters Assist in coordinating quotes, purchase orders, and contract documentation Monitor supplier compliance with agreed timelines and deliverables Financial Administration & Invoice Processing Process supplier invoices, ensuring accuracy for timely payments Reconcile project budgets and expenditure, providing regular updates to project managers Assist in preparing cost reports and financial summaries for project tracking Compliance & Reporting Support project activities compliance with relevant regulatory and organisational policies Maintain records of project risks, WHS requirements, and compliance documentation Assist in compiling reports for executive and board-level review Stakeholder Communication & Support Coordinate meetings, including scheduling, agenda preparation, and minute-taking Act as a key liaison between internal teams, consultants, and external stakeholders Support change management initiatives and project rollouts as needed About You Commitment to engage and align with HammondCare’s Christian Mission, Motivation, and Mission in Action At least 3 years demonstrated experience in project administration in construction, property, or infrastructure sectors Strong organisational skills with the ability to manage multiple tasks and deadlines Proficiency in financial administration, including invoice processing and budget tracking Excellent written and verbal communication skills Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and project management software Ability to collaborate effectively with diverse internal and external stakeholders Desirable Experience: Experience in property development or construction-related projects Familiarity with WHS and compliance reporting in a construction environment Experience using asset management systems and document management software Knowledge of contract administration and procurement processes To Apply If you are ready to make a difference with HammondCare, Apply Now!
