We are seeking a highly motivated and visionary team player interested in shaping the management of people at risk of developing/or with T1 diabetes and chronic graft vs host disease patients.
As the Project Program Specialist for aT1D and Transplant you will be reporting to the Franchise Head of aT1D Canada and supporting the commercial teams for both aT1D and Transplant. In this role you will lead and/or supports all critical business processes and new ways of working including key transformation projects. This role also facilitates news ways of working for the Commercial teams and acts as project manager or facilitator of internal processes to ensure the team achieves positive patient, customer, and financial outcomes in a compliant manner.

SPECIFIC SKILLS AND/OR COMPETENCIES:

  • Financial: experience in financial processes, financial tools (i.e. SAP)
  • Solution orientation: Ability to anticipate, understand and respond to the needs of the organization and the team
  • Teamwork: Work cooperatively and effectively with others to set goals, resolve problems and make decisions to enhance organizational effectiveness; ability to undertake self-directed tasks when necessary, ability to work in collaboration with other coordinators in a seamless way for the benefit of the overall General Medicines team/sanofi organization
  • Organization: Excellent time management and project management skills; attention to detail; the capacity to prioritize by assessing situations to determine urgency; ability to develop a work schedule; set goals, create/implement action plans and monitor progress towards goals; and ability to make clear and timely decisions
  • Knowledge of PAAB, ASC guidelines
  • Knowledge in SAP product requests both locally and globally to support pre-launch efforts
  • Knowledge of pre-press and print production procedures an asset
  • Intermediate to expert level competence in MS Office
  • Experience with Veeva 4M Promo Mats and SharePoint preferred, MS Teams, Zoom
  • Strong communication and presentation skills in English (French is a plus) both written and verbal

Responsibilities
  • AGILE WAYS OF WORKING/BUSINESS PROCESSES: Act as a scrum master for projects & facilitates the adoption of Agile Ways of Working by the Commercial teams. Lead the implementation, communication and overall project management of important business processes and new ways of working including but not limited to: SOPs, financial processes, new digital processes (i.e.: new promotional processes, e-signature) and company initiatives (oneCRM, PromoMats)
  • Interacts with the cross-functional team for the Patient Program for either aT1D or Transplant and responsible to define, set-up and monitor a Patient Program in accordance with governing SOPs, policies, and local laws and regulations in effective ways
  • OMNICHANNEL CONTENT: Support all steps of omnichannel asset creation/adaptation ie: liaising with agency, financial processes, approval processes (PromoMats), distribution inventory and destruction
  • Work closely with Commercial teams as point person/liaison in all steps to create promotional tools and communications in close collaboration with the agencies (creative and print) and cross-functional team
  • Ensures appropriate referencing, documentation, translation, tracking approvals and Promo Mats process, and appropriate archiving in accordance with Sanofi SOPs, IMC regulations and PAAB/ASC approval process management.
  • CONGRESS MANAGEMENT: Lead all aspects of congress logistics including sponsorship, booths, attendance (Head office and field)
  • ONBOARDING: Lead the onboarding process for new hires including IT/equipment/SOP/ilearn, and the maintenance of accurate information in Sanofi systems (SAP profile creation, computer request, Sanofi access card request, etc.) including internal and contract (CSO) employees
  • NATIONAL AND REGIONAL BUSINESS AND FIELD MEETINGS: Lead the organization and execution of national and regional meeting logistics planning, execution, and follow up post meeting (i.e. post meeting surveys) in collaboration with third parties and colleagues supporting Core business
  • FINANCIAL PROCESSES: Supports financial processes related to budget management and utilization in collaboration with the Finance Business Partner and the Commercial Teams Lead the management of T&E and OPEX budget forecasts/plans, including tracking of departmental expenses and monthly accruals
  • Lead the team in all areas of procurement, contracts, (i.e. NEXTs, Catalyst) and supplier management
  • Lead the team in the creation and coordination of confidentiality agreements, service agreements and contracts with external suppliers
  • Lead the team in creation of AEDs and Purchase Requisitions/Purchase Orders, and tracks expenses throughout the course of a project until invoice processing and year end reconciliation is complete.
  • Lead the field teams in partnership with Sales Manager in financial tools/compliance at the field level, Open and manage POs and CANs, follow up with Sales Managers on SLS AOF budget tracking and landing
  • COMPLIANCE: Supports team with compliance regarding IMC Code of conduct, training, audits and SOPs
