As a Sales Administrator you will help ensure smooth operations of the sales team and presentation centre. You’ll support sales operations onsite, prospect coordination, customer engagement, and behind-the-scenes tasks that keep the sales function running efficiently. You can wear multiple hats and liaise between various internal and external teams overlooking the sales operations of all Peterson project sites related to sales and after sales support while staying efficient and effective with prioritization of tasks. You thrive on being organized with great management skills that excels on leading internal sales operation processes.  KEY RESPONSIBILITIES Presentation Centre Responsibilities *  Provide welcoming and high-quality customer service to prospects, realtors, and visitors to the presentation centre to ensure a positive experience * High adaptability to field or redirect purchaser and realtor inquiries utilizing efficient problem-solving skills for maximum outcome and customer service * Ensure smooth daily presentation centre and display suite cleanliness, with well-stocked brochures and promotional materials * Execute and organize backend paperwork, purchase agreements, reports, and documentation for regulatory compliance and purchase agreement enforceability * Lead the project deposit follow up and tracking to ensure all Homeowner deposits are up to date and recorded accurately  * Manage sales CRM with clean registrant data, reports, purchaser agreements, and client details to ensure data accuracy * Liaison between the project team and internal sales and marketing for adequately programmed sales operations and marketing needs at the presentation centre * Supporting project sales events and building relationships with Peterson realtor following * Planning, executing and attending corporate events and/or sponsorships that support Peterson realtor relationships (i.e. Annual brokerage celebration events, Galas, Medallion Club Dinner, etc.) Administration & Reporting Responsibilities * Working with internal sales and legal team to facilitate enforceable Purchase Agreements and addenda’s * Managing digital deal writing platforms to ensure Purchaser Agreements are following regulatory compliance and enforceable  * Ensuring Purchaser deposits are collected on time and accurately tracked on all Peterson projects * Ensuring prompt distribution of Disclosure Statement amendments and receipts * Processing documents for sales agreements and purchaser correspondence and sales reporting * Liaison between sales and development for accurate communication and reporting of suite options, upgrades and customizations * CSAIR filing and quarterly reporting via myLTSA * Facilitating appraisal walk throughs and completion activities as required * Managing and distributing weekly reports as needed for traffic, sales, inventory, competition etc.  * Acting as a liaison across multiple departments—coordinating with the Development team to provide reports and inventory updates, and supporting Homeowner Care initiatives * Managing internal sales reporting and liaising with external Realtor brokerages and the internal accounting team to track commissions and bonuses to facilitate efficient payment of commission advances and bonuses * Sales support related to payment of commissions and advances, including repayment of commission for defaulted Purchase agreements  * Supporting any other additional administrative responsibilities as required * Oversee all presentation centre operations in relation to complying with internal sales procedures, set up cleaners, order supplies and other housekeeping items required  Reception Coverage Responsibilities *  Providing reception coverage 2–3 days per month, professionally managing front-desk operations, greeting visitors, handling incoming calls, and ensuring seamless office support  WHAT YOU BRING  * Minimum 2-3 years of sales administrative experience in presale residential real estate * Active Real Estate Trading Services License in BC (asset) * A positive attitude and a drive to succeed * Efficient and effective time and project management, demonstrating accountability and ability to meet tight timelines under high-pressure while producing quality and accurate work * Excellent organizational skills, attention to detail and ability to prioritize tasks to stay efficient * Intermediate proficiency with Microsoft Office (Excel, Word, Outlook) * Experience working within Aires CRM and Blackline (asset)  * Demonstrated ability to problem-solve using effective written and verbal communication * Building positive and professional relationships with internal and external stakeholders * Secondary Language skills in Mandarin (asset) Compensation: Base salary and commission $60,000 - $75,000 If this sounds like a good fit for you, please submit your resume and cover letter to sales@petersonbc.com
