Description
  • Receiving visitors at the front desk by greeting and welcoming,.
  • Responsible for filling, tracking & control of all incoming and outgoing documents indented for the Project.
  • Preparing technical submittals such as shop drawings, as built drawing, material submittal, sample submittal, Method Statement, MIR & WIR.
  • Maintain contact lists (project, vendor, and client), correspondence log and action log.
  • Maintaining calendars, schedules appointments, answering telephone calls and emails & taking appropriate actions.
  • Maintaining efficient record-keeping system that enable fast and easy access to needed information.
  • Document control management system Oracle Aconex. Work with documents and records across various department.
  • Maintain and control documents for metal fabrication projects (drawings, inspection reports, welding procedures, material certificates, etc.).
  • Ensure proper document classification, sorting, filing, and archiving in both electronic and hard copy formats.
  • Issue and track controlled documents using Document Management Systems (DMS).
  • Update logs for drawings, revisions, method statements, RFIs, ITPs, MIRs, etc.
  • Ensure compliance with ISO 9001 and other applicable quality standards.
  • Liaise with engineering, production, QA/QC, and procurement teams to ensure document flow is timely and complete.
  • Monitor document revisions, track approvals, and ensure the latest versions are distributed.
  • Prepare transmittals, ensure client and consultant documentation requirements are met.
  • Assist in preparing project handover dossiers and documentation packs.
  • Coordinate with site and fabrication teams for document updates and registers.
  • Support internal and external audits by providing requested documentation.
