TITLE: PROJECT SITE ADMINISTRATIVE ASSISTANT

  • Large facility construction project
  • Columbus, Ohio
  • Contract position, hourly basis, with overtime
  • 18 months with good possibility of extension
    NOTE: Candidates must be legally authorized to work in the United States. Sponsorship for an employment visa now or in the future is not available for this position.

JOB DESCRIPTION:

The Project Administrative Assistant will work in a team environment under the direction of the client’s Construction Manager. The candidate will assist the construction manager with document control, recordkeeping, communications, and overall project coordination. Good spoken and written English are required, as well as excellent experience and proficiency with Microsoft Excel and Word. The candidate must be efficient, organized, motivated, and able to gain the cooperation of others while working in a construction environment.
LOCATION: Columbus, Ohio
CONTRACT TYPE: 1099 Independent Contractor
START DATE: As soon as possible, based on candidate availability
DURATION: 18 months, with good possibility of extension

QUALIFICATIONS:

  • 2-year associate’s degree or 4-year university degree.
  • Minimum 3 years of experience in an administrative assistant capacity. Experience in major construction or industrial environments will be strongly preferred.
  • Experienced user of MS Excel, Word, PowerPoint, and other office software.
  • Excellent proficiency with Excel is required - ability to write formulas, manage pivot tables, sort, filter, and customize formats, etc.
  • Experience with project management software is preferred.
  • Good spoken and written English, good spelling & grammar and telephone skills.
  • Basic math skills are important. Must be able to perform calculations and check numbers for accuracy and correctness.
  • Good physical health and mobility - prolonged periods of sitting and walking will apply. Ability to climb, reach, and stoop, and lifting up to 10 pounds if needed.
  • The applicant should be highly organized and professional, able to work within a team, in a fast-paced environment, with a good attitude and the ability to gain the cooperation of others.

    Pay: $24.00 - $30.00 per hour

                      Responsibilities
                      • Efficiently manage project documentation and communications.
                      • Perform efficient and accurate recordkeeping: process invoices, track shipments, inventory materials, log change requests, update budget reports, etc.
                      • Notify contractors and team members of incoming shipments and manage shipping documentation.
                      • Help with general coordination of work on site, receive phone calls, follow-up with others to ensure that tasks are completed on time.
                      • Issue purchase requisitions, follow-up to make sure that work orders are issued quickly, and order materials for the team.
                      • Assist to manage and organize the project office, arrange and coordinate events and meetings.
                      • Update project reports and schedules.
                      • Arrange travel, accommodations, and transport for project visitors.
                      • It may be necessary to run errands using a company vehicle on occasion.
                      • Provide back-up support for other team members when they are gone.
                      • Occasional weekday extra hours and Saturday hours may be required, often on short notice. Overtime rates will apply.
