Under general supervision, performs various administrative activities in support of the Supply Chain department and Record Center, including payroll, personnel functions, special studies and investigations, records control, compilation, and analyses of data

EDUCATION/EXPERIENCE REQUIREMENTS

  • Bachelor’s degree in Business Administration, Management, or a related field, plus two (2) years of experience in an administrative position including project management, budget management, report preparation, and/or data analysis, or an equivalent combination of education and experience.

PHYSICAL REQUIREMENTS

  • Requires remaining in a stationary position for extended periods of time and constantly operating a computer and other office productivity machinery.
  • May require moving inside and outside warehouse, stockrooms, Bus and Rail Terminals and Shops.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Working knowledge of office and administrative management policies and procedures.
  • Working knowledge of report preparation methods.
  • Working knowledge of computerized Inventory Management Systems is preferred.
  • Working knowledge in the use of Microsoft Office products.

Responsibilities

Enters department timekeeping entries and reviews timekeeping system records to answer employees’ questions and verify data accuracy.
Reviews payroll records within established deadlines to ensure timely payment to employees.
Verify approvals for vacation, sick, and holiday time off.
Submits timekeeping entries to supervisor/management for approval.
Prepares, edits, and maintains departmental records, documents, and systems relating to departmental personnel.
Updates department records to ensure accurate information is maintained.
Assists in maintaining various computer systems as utilized by department.
Prepares and processes documents and reports relating to department personnel and distributes copies as needed.
Assists in developing and administering programs, procedures, goals, and objectives. Develops methods to improve workflow and processes.
Coordinates various projects, special assignments and support activities as assigned. Conducts studies, analyzes responses, and presents findings on topics and issues relating to Supply Chain as assigned by department management.
Assists in the preparation of budgets and financial plans. Monitors budget and various reports to ensure accuracy. Compiles and reviews budget and personnel data.
Participates in the preparation and implementation of departmental Job, Holiday, and Vacation picks.
Assists in the ordering, stocking, and distribution of office supplies.
Performs required inventory adjustments and transactions in Oracle to assist Cycle Count personnel. May perform Daily Audits as required.
Performs related duties as assigned.
