Responsibilities

ABOUT THE ROLE

We are looking for a Project Support Coordinator to work alongside our project team to optimise our operational efficiency. As the Project Support Coordinator, your role will be to correctly match resource to projects as well as maintaining the project workflow by creating/updating key project documentation and providing administrative support to the project team. You will work with the Admin Manager, Project Lead and Operations Director to ensure that resource needs are met.
This role requires high levels of attention to detail and the ability to keep track of multiple activities and skills. You will be needed to work closely with the project team to assist over busy times and cover tasks when needed. You will need to be flexible in your approach to deal with changes in priority.

RESPONSIBILITIES INCLUDE

  • Transport Logistics
  • Schedule Sparq vehicles
  • Source and schedule external hire vehicles
  • Ensure weight/height limits are considered
  • Researching/Booking Vehicle Parking
  • Schedule Sparq staff, ensuring working hours are considered
  • Source and book external staff i.e., Freelancers, Crew & Drivers
  • Booking and organising all company travel and accommodation
  • Source and book equipment
  • Responsible for the Freelancer Database; keeping the database up to date and ensuring we have up to date key documentation
  • Capacity management – pre-empt busy periods and book extra resources in advance
  • Creating Digital Project Job Files
  • Ensuring external resources receive PO numbers and costs are up to date on Project Cost Sheets
  • Liaise and negotiate with suppliers, venues and other service providers
  • Scheduling of Sparq vehicle maintenance/servicing bookings alongside our Facilities & Fleet Operative
  • Responsible for Vehicle Tracker system maintenance
  • Organising couriers for collection/return of equipment
  • Other ad-hoc duties as required
