Home Campus: Fennell (hybrid work arrangements available)
Rate of Pay: Payband G (Starting Rate: $33.55 per hour)

Under the general direction of the Program Manager, the Project Support Officer (PSO) is responsible for supporting project coordination in the newly formed Marinucci Family Centre for Professional Advancement and Continuing Studies (CPACS). The PSO will contribute to streamlining processes across multiple functions to enable the successful integration of Continuing Education (CE) and Professional Advancement (CPA). The PSO will collaborate with all employees in CE and CPA to streamline registration and admission processes, assisting with project/program creation and updates, coordinating outreach efforts, maintaining accurate documentation and Standard Operating Procedures (SOPs).
The role also involves collaborating with multiple stakeholders, acting as the first line of communication to external stakeholders, preparing and analysing reports, and providing comprehensive support to partners, faculty/staff and students. This position supports the overall operations of the newly merged Centre and reports milestone tracking and project support to ensure the successful integration of CE and CPA. Flexibility in working hours and the ability to work across multiple campuses are essential to ensure the successful operation of the integration of this newly formed Centre.

CONTRIBUTES KNOWLEDGE AND SKILLS TO THE EFFECTIVE AND SUCCESSFUL ADMINISTRATION OF THE NEWLY MERGED MARINUCCI FAMILY CPACS:

  • Assess existing workflows and implement improvements for the CPA/CE merger.
  • Update workflows and procedures to ensure long-term success.
  • Coordinate meetings, including preparing agendas, taking minutes, and arranging logistics, and recommend improvements to the new Centre.
  • Conduct regular assessments and evaluations of processes and workflows.
  • Implement changes based on findings to improve efficiency and effectiveness.
  • Evaluate the impact of the merger and develop strategies for continuous improvement.
  • Administer surveys to instructors, colleagues, and learners.
  • Summarize and analyze survey data, preparing regular reports.
  • Track all reporting, including survey results, partner reports, and impact reports.
  • Assess, support and create reporting methods and develop improved processes for the merger.
  • Adapts, maintains records and recommends procedures for audit purposes related to project activity.
  • Takes on special projects as assigned by the Manager.
Responsibilities

WHAT YOU’LL BRING TO THE ROLE:

  • A minimum of three-year post-secondary education in Business/Office Administration, Computer Studies or related field; or equivalent combination of education and experience.
  • Advanced working knowledge of Microsoft office products is essential, including Word, Excel, PowerPoint. Familiarity with Mohawk College programs is desirable; including, MyCanvas, MyMohawk mail and groups, Fast Suite, Banner, SUMMIT, ePAFs, COGNOS.
  • Three years of practical and related experience in an educational environment where there is a strong emphasis on interpersonal skill and customer service, preferably a post-secondary setting.
  • Working with databases and student information systems, preferably with Banner, or any relational database in a post-secondary education.
  • Working in an office environment with demonstrated problem solving skills.
  • Working in a time sensitive deadline driven environment with an elevated attention to detail.
  • Working independently and in a team environment.
  • Working in a role with diverse responsibilities and knowledge base.
  • Project management skills that include organizing, multi-tasking, prioritizing and meeting deadlines.
