THE OPPORTUNITY:

We are seeking an experienced Project Support Officer (also known as Project Coordinator, Project Administrator, or Program Support Officer) to join our Defence team in Canberra. In this role, you’ll provide high-level project administration, coordination, scheduling, and documentation support across complex, high-profile Defence projects.
You will work closely with project managers, multidisciplinary teams, and stakeholders to ensure project activities are delivered on time, on budget, and in compliance with Defence standards. Your expertise in meeting coordination, minute-taking, document control (Objective), and stakeholder liaison will be key to your success.

Responsibilities
  • Support the planning, scheduling, and coordination of project activities to ensure timely delivery.
  • Maintain and update project documentation, including plans, reports, and registers.
  • Liaise with internal and external stakeholders to facilitate smooth communication and project progress.
  • Provide administrative assistance to project managers, including meeting scheduling, minute-taking, and correspondence management.
  • Monitor project risks and issues, assisting in the implementation of mitigation strategies.
  • Support the monitoring of project budgets, expenditures, and financial reporting.
  • Ensure adherence to relevant policies, procedures, and regulatory requirements.
  • Assist with procurement, inventory management, and logistics for project-related activities.
  • Contribute to process improvement initiatives to enhance project delivery.
