Purpose of the role
The Project Support Officer will play a key role in supporting project execution by managing planning, scheduling, document control, communication and budget tracking. The role will support the project team by monitoring project timelines, mitigating risk and communicating between internal teams, external partners, and stakeholders, as well as providing administrative support to development managers delivering multiple hotel schemes across the UK.
Key Responsibilities

Planning & Scheduling

  • Assist team members with day to day planning, identifying key tasks and stakeholders
  • Create and update trackers for multiple projects
  • Communicate key milestones and durations to internal and external teams.

Communication & Documentation

  • Develop and maintain various project trackers. Ensure key project documentation is reviewed and kept up to date
  • Support the Project Director by organising meetings, taking notes, recording actions, and assigning task ownership
  • Maintain and control project documentation, ensuring version control and storage
  • Process invoices and manage project cash flows and expenditure
  • Liaise with the accounts department (internal and external) to ensure invoices are submitted and paid in a timely manner
  • Project cost book keeping and cashflow updating
  • Collect and distribute feedback to relevant stakeholders

Experience

  • Proficiency in Microsoft Project, Excel, Google sheets, and Monday.com
  • Strong organisational and communication skills
  • Ability to manage multiple tasks and priorities
  • Detail-oriented with experience in project tracking and documentation control
  • Budget monitoring and financial tracking capabilities
