OVERVIEW

We are seeking a dedicated and enthusiastic Project Support Officer to join a designated project team established to oversee the successful delivery of a redevelopment hospital site in Bradford. The ideal candidate will play a crucial role in supporting the Project Management team as well as co-ordinate activity to support the scheme, facilitating key project meetings and producing various project documentation.
The candidate will assist in establishing and maintaining the project office, project controls and reporting mechanisms across all elements of the project and other enabling schemes.
The candidate needs to be a motivated self-starter, who can pick up and run with complex issues.

REQUIREMENTS

  • Prince 2 – Project Management or similar
  • Experience of operating in a project management/ PMO support role.
  • Working experience of Portfolio, Programme and Project support/ administration services including project planning, document maintenance and reporting writing
  • Experience of arranging meetings, events, and diary management
  • Experience of minute taking
  • Ability to manage stakeholder groups and balance diplomacy
  • strong communication skills, both verbal and written
Responsibilities

RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:

  • Provide administrative and project support to the overall delivery of the Redevelopment and assisting in co-ordinating a broad range of project related activities.
  • Maintain high standards of performance and behaviour and a culture of openness, transparency, responsiveness, efficiency and customer-focused service.
  • Support all aspects of project management, including updating and maintenance of project plans, risk registers, issue logs and other documentation for approval through the project governance.
  • Manage and prioritise all incoming and outgoing correspondence; logging appropriately and initiating responses on behalf of senior staff where appropriate and ensuring action required is undertaken within deadlines.
  • To be conscientious, disciplined, flexible and adaptable, having a sense of responsibility and be able to work accurately and precisely.
  • Produce emails and letters plus draft letters and reports for the Project Management Team.
  • Assist with the performances of audits within the Pathology audit calendar.
  • Using a range of IT applications to monitor, prepare and validate databases as appropriate producing accurate operational reports as required.
  • Manage and co-ordinate electronic diaries, organising and scheduling appointments to make best use of time management.
  • Take and transcribe notes at meetings as required, and follow up outstanding actions prior to the next meeting to ensure there are timely updates

PLEASE NOTE THAT TASKMASTER IS OPERATING AS A RECRUITMENT BUSINESS FOR THIS ROLE. THIS ROLE IS ON A TEMPORARY BASIS AND IS RUNNING FOR 6 MONTHS WITH A POSSIBILITY OF EXTENSION.
