Position Overview We are seeking a motivated, detail-oriented Project Support Specialist to join our in-office team. This role bridges Sales and Operations, ensuring every sold project is fully prepared, accurately documented, and ready for seamless production and installation. Key Responsibilities Project Coordination & Pre-Production Process sold jobs from Sales through pre-production. Gather, confirm, and record all project details in company software. Identify and resolve missing or incomplete information. Ensure all materials are ordered and scheduled to be available when needed. Confirm jobsite readiness for template and installation. Document special considerations (large pieces, stairs, access challenges, etc.). Release completed job packages to Scheduling and Production. Cross-Department Communication Coordinate with Purchasing, Programming, Scheduling, and Installation as needed. Participate in production/buffer meetings and proactively address potential delays. Identify root causes of issues that threaten project timelines. Customer Communication Serve as the primary point of contact after the sale is complete. Provide regular updates and manage expectations from pre-production through installation. Communicate material changes, pricing adjustments, and developing issues. Resolve customer questions or concerns to ensure satisfaction. What We’re Looking For Strong written and verbal communication skills. High attention to detail with excellent organizational abilities. Proficiency in Microsoft Office; experience with industry-specific software is a plus. Experience in construction coordination, estimating, stone fabrication, or related industries preferred. Proactive self-starter with strong problem-solving and follow-through skills. Ability to multitask and prioritize in a fast-paced environment. Positive team player with a commitment to company success. Willingness to occasionally work extended hours as project demands require.
