Description A Project TAR Planner Coordinator is commonly expected to use TRECORA’s maintenance management system, to create, update, plan, and assign project and turnaround activities in a manufacturing environment. They will submit purchase requisitions to ensure all necessary parts are onsite prior to the planned downtime event. For projects with assigned contractor companies will approve schedule and coordinate the jobs with Maintenance and Operations teams, besides of providing follow up meetings and reports. Organize and oversee construction projects from start to finish, ensuring timely delivery, budget adherence, and accurate documentation. This role partners closely with Project Managers and Field Supervisors to coordinate resources, track project progress, and manage AIA billing and job cost reporting. Plans and Schedules turnaround activities. Utilize maintenance management software as a force multiplier through intuitive and creative scheduling. Works closely with Maintenance Team to create detailed job plans utilizing a combination of maintenance management software and Microsoft products. Requisitions materials necessary for plant equipment repair and equipment compliance. Purchasing responsibilities, as needed. Plans and organizes planned equipment shutdowns in conjunction with production schedules. Can interpret blueprints and drawings for part identification and preventative maintenance construction. Creates and monitors machine history for predictive failures. Coordinates outside contractor schedules to meet project completion dates. Schedules and coordinates all shutdown activities and works with storeroom personnel to ensure all necessary parts are staged prior to the planned maintenance. Submits recommendations for MRO stocking level additions, deletions, and modifications to the Reliability Manager. Screen notifications for LACD (latest acceptable completion date). Coordinate with the Operations & Maintenance departments and inform teams on when the work and equipment is scheduled to be worked. Ensure that the work that has been scheduled is acceptable to Operations and Maintenance. Collaborate with Project Managers and Field Supervisor's to determine the specifications of each project. Determine needed resources (labor, equipment, and materials) from start to finish with attention to budgetary limitations. Monitor, track and run reports. Ensure the proper administration and filing of project documentation, including project contract, shop drawings, submittals, correspondence, specifications, purchase orders and other related project documentation. Ensure team is keeping proper documentation in project files which includes photos, time sheets, expenses etc. Evaluate progress and prepare detailed reports. Ensure adherence to all health and safety standards and report issues. Process project closeouts. Prepare and submit AIA billing documentation for General Contractors, including monthly draws, change orders, collection of payments, and subcontractor compliance. Prepare and review monthly project job costs, billing, and collections to ensure alignment with project status. Coordinate with Project Managers to verify job costs, review project progress, and support accurate revenue recognition. Track and update job logs, billing schedules, and project status reports. Develop and manage project budgets. Perform accurate data entry. Perform additional duties as assigned. Other duties as assigned. Requirements High school diploma or general education degree (GED) required. Knowledge of industry standards and practices. Strong communication skills, interpersonal skills, and ability to build relationships. Proven leadership skills and the ability to influence at a local level and across a broad organization.
