JOB OVERVIEW: BILINGUAL PROPERTY ADMINISTRATOR (SPANISH/ENGLISH)
We are seeking a detail-oriented and bilingual Property Administrator to join our team. The ideal candidate will be fluent in both Spanish and English, and will play a key role in supporting the administrative functions of property management. This position requires strong organizational skills, excellent communication abilities, and a commitment to providing exceptional service to residents, contractors, and stakeholders.

· Proficient in data entry and maintaining accurate records.
· Strong administrative and clerical skills.
· Excellent phone etiquette and interpersonal communication.
· Ability to manage tenant relationships with professionalism and empathy.
· Familiarity with physical and electronic filing systems.
· Strong negotiation skills when dealing with vendors, tenants, and contractors.
· Prior experience in property administration or a related field is preferred.

· Serve as the first point of contact for residents, contractors, and visitors, providing reception and customer service in both Spanish and English.
· Perform general office duties including filing, answering phone calls, responding to emails, and maintaining organized records.
· Process Rent-Geared-to-Income (RGI), Tenancy, and Subsidy Agreements accurately and efficiently.
· Manage housing charge payments via cheque and debit, ensuring proper documentation and reconciliation.
· Maintain positive relationships with residents and contractors, addressing inquiries and concerns professionally.
· Prepare resident notices and correspondence as directed by the Property Manager.
· Track and report arrears, over-housed cases, internal transfer requests, and payment plan agreements.
· Assist with accounts payable processing, including entering charges and adjustments into the accounting system for approval.
· Reconcile accounts receivable and ensure accurate data entry into the accounting system.
· Handle resident requests for parking permits and laundry cards.
· Prepare and file legal notices (e.g., N4, N5, N8) in coordination with the paralegal.
· Complete tenancy and subsidy agreements as needed.
