Job Description Job Purpose: The Property Assistant plays an integral role in delivering a best-in-class tenant experience across our commercial real estate portfolio. This position supports day-to-day property operations, tenant engagement, and administrative functions, while ensuring the property is maintained to the highest standards. This role is ideal for a service-driven professional who thrives in a fast-paced, hospitality-focused environment and takes pride in creating a welcoming, well-managed workplace for tenants and guests. Key Responsibilities Tenant Experience & Hospitality Deliver exceptional, hospitality-focused service to tenants, guests, and vendors. Serve as a primary point of contact for tenant inquiries, ensuring timely and professional resolution. Create, manage, and follow up on work orders to ensure prompt issue resolution. Plan and execute tenant engagement events that foster community and connection. Participate in on-call rotation to support urgent or after-hours property needs. Property Operations & Maintenance Ensure all areas of the property—including suites, conference rooms, and common areas—are maintained to a high standard of cleanliness and presentation. Monitor building systems and escalate issues as needed to management or vendors. Coordinate routine maintenance, repairs, and inspections with third-party vendors. Build strong partnerships with building ownership, engineering, and asset management teams. Support compliance with all building policies, safety standards, and operational procedures. Financial & Lease Administration Process invoices accurately and ensure timely coding, approval, and submission. Assist with accounts receivable, including collections follow-up and minimizing outstanding balances. Support monthly financial reporting in partnership with the accounting team. Obtain and review vendor proposals to ensure alignment with scope, pricing, and company standards. Assist with lease administration, including tracking key dates and maintaining documentation. Leasing & Marketing Support Maintain a working knowledge of available inventory, property offerings, and marketing initiatives. Support leasing efforts by coordinating tours, preparing materials, and working with brokers. Assist with tenant improvements and suite customization as needed. Administrative & Compliance Maintain accurate and organized records, including leases, contracts, and compliance documentation. Ensure adherence to company policies, procedures, and operational standards. Review and process purchase orders and invoices through the accounts payable system. Support new initiatives and additional responsibilities as assigned. Additional responsibilities as required. Qualifications Qualifications Education: Bachelor’s degree in Real Estate, Business Administration, Hospitality, or related field (preferred) Experience: 2–3+ years in property management, hospitality, or a related service-focused role Technical Skills: Proficiency in Microsoft Office; experience with property management systems preferred Core Competencies Hospitality-first mindset with a strong commitment to service excellence Strong communication and interpersonal skills Exceptional attention to detail and organizational skills Ability to prioritize, multitask, and perform in a fast-paced environment Proactive problem-solving and a team-oriented approach Flexibility to support business needs outside of standard hours when required Working Environment Position Type: Full-time, non-exempt Schedule: Monday–Friday, 8:15 AM – 5:15 PM (in-office) This position is based at King Street Station (1800 Diagonal Road, Suite 600 Alexandria, VA 22314) and also supports The Willard Office Building (1455 Pennsylvania Ave, NW Suite 400 Washington, DC 20004).
