Description

This individual will ensure smooth lease renewals, timely rent collection, and the effective handling of legal matters through strong attention to detail and a proactive approach. The role serves as the primary point of contact for tenants, attorneys, and courts, maintaining organized records and clear communication trails that support legal proceedings. Key responsibilities include: Immediate Court File Readiness: As soon as a legal file is opened, you must prepare the entire evidence folder immediately. All documents, proof of service, and lease copies must be organized and "court-ready" the moment the case starts—do not wait for the court date. Proactive Lease Renewals: Monitor lease expirations daily. Prepare and send out renewal notices at least 5 months before the end date to ensure zero missed deadlines. Strict Rent Collection: Monitor building software daily. On the 2nd of the month, send firm reminders via text and email. Maintain a clear "paper trail" of all communications for legal proof. Legal & Bailiff Coordination: File cases with the court for non-payment or lease violations. Manage the bailiff (huissier) process and keep a detailed log of what was sent and when it was served. Vacancy Management: Maintain a real-time Google Sheet of vacant units and upcoming move-outs. Immediately respond to tenants trying to break leases, making it clear they remain fully responsible for the contract. Bilingualism: The candidate must be fluent in both English and French (mandatory for legal filings). Strong Organizational Skills (“Top-of-Mind” Organization): Able to independently manage both their own calendar and the court’s calendar without requiring reminders. Professional & Firm Communication: Capable of handling difficult conversations with tenants while maintaining a professional, firm, and composed approach. Proactive Mindset: Anticipates potential issues in advance and takes initiative to prepare solutions (e.g., planning ahead for vacancies or operational needs).
