Description
As an Admin staff member for ADG KSA at Driven Properties, you will provide essential support to the Property Manager by handling administrative tasks, tenant enquiries, and property documentation. Your role is key to ensuring efficient property operations, assisting with paperwork, and delivering excellent service to both tenants and property owners. Tenant Support: Assist tenants with enquiries related to maintenance, parking, contracts, cheques, and other property-related services. Enquiry Management: Respond promptly and professionally to tenant and property owner queries regarding parking, maintenance, renewals, and general property matters. Third-Party Coordination: Liaise with Ejar for tenancy contract registration and coordinate with the Saudi Electricity Company (SEC), National Water Company (NWC), and district cooling providers (e.g., Saudi Tabreed) to arrange and confirm utility connections. Record Maintenance: Ensure accurate and up-to-date records of property details, tenant information, lease agreements, and renewals. Lease Renewals: Issue renewal notices 100 days prior to lease expiry and complete the renewal process within 30 days of expiry. CRM & Database Management: Add new properties to the CRM system and reconcile CRM data with contracts, master sheets, and payment records. Maintenance & Inspections: Log, track, and follow up on maintenance requests and inspection-related matters. Reporting: Prepare and submit weekly reports covering the property portfolio. Lease Documentation: Support the drafting and review of lease agreements and related documentation. Checklists & Compliance: Prepare inspection, move-in, and move-out checklists to ensure adherence to company standards. Property Management Support: Provide ongoing administrative and operational support to the Property Manager, including coordination with contractors and suppliers as required. Required Proven experience in administrative roles, ideally within the property management or real estate industry. Proficiency in Microsoft Office applications (Excel, Word, Outlook) and database management systems. Strong organizational skills with high attention to detail. Preferred Familiarity with property management software (Yardi) Previous experience handling tenant enquiries and managing property-related documentation. Skills & Competencies Excellent communication skills to effectively respond to tenant and owner inquiries. High level of accuracy when updating records, preparing documents, and managing lease renewals. Strong time management skills with the ability to prioritize tasks and meet deadlines.
