East and North London
Our property management teams are currently based in our head office in Leytonstone, east London however our head office is moving to EC2 at the end of July. One of our key teams is looking for someone proactive and hands-on to take on various tasks, providing first-class administrative support. As this role involves multiple software packages, the ideal candidate should have excellent knowledge of Microsoft packages and a good working knowledge of CRM systems.

KEY REQUIREMENTS

Good IT knowledge and proficiency in Word, Excel and Powerpoint
The ability to type at least 65 words per minute
Excellent organisational skills
The ability to prioritise tasks
Good communication and team working skills
Ability to work under pressure
Enthusiastic and confident nature
Ability to work on own initiative
Team player approach to work, able to build good working relationships with colleagues
Ability to solve problems quickly and effectively
Proactive and keen to help out where needed
This is a full-time position - Monday to Friday, 9-5:30. Four days in the office, one day working from home.

Responsibilities

To undertake general administrative work
Managing our instructions and leads on our CRM system
Deal with utility companies, suppliers, service providers and the billing process
Liaise with suppliers on property repairs
Arrange property inspections with multiple parties
Liaise and arrange contractors for online-based H&S portal and inspections
Manage all property keys and maintain their records
Maintain coding of suppliers and invoices for payments
Answer incoming calls and take detailed messages in accordance with our good practice procedure
Type and proofread work to ensure that completed documents have been produced to a high standard
Manage filing systems to ensure easy retrieval of all relevant documents
Control the flow of email and other messages efficiently
Occasional minute taking
Help cover reception when needed
