JOB OVERVIEW

We are seeking a motivated and detail-oriented Property Management Assistant to join our dynamic team. This role is essential in supporting the daily operations of our property management department. The ideal candidate will possess strong administrative skills, a customer-focused attitude, and a willingness to learn about property management practices. You will be responsible for assisting with various tasks that contribute to the efficient management of properties and enhancing tenant satisfaction.

EXPERIENCE

  • Previous office experience is required, with a focus on administrative tasks.
  • Experience in property management or related fields is preferred.
  • Strong customer service skills with a proven ability to build relationships effectively.
  • Knowledge of property management operations and basic accounting principles.
  • Familiarity with Yardi software or similar property management systems is advantageous.
  • Proficiency in data entry, filing systems, and general office procedures.
  • Excellent negotiation skills and the ability to handle conflicts professionally.
  • Proficiency with Microsoft Office (Word, Excel, Outlook); experience with Spectra, Angus, or similar systems an asset.
  • A proactive, self-starter mindset who works well independently and as part of a team.
  • A background in sales is beneficial for assisting with leasing activities.

Responsibilities
  • Provide administrative support to residential and commercial property management staff, including data entry and filing.
  • Serve as the first point of contact for tenant inquiries and service requests.
  • Assist with move-in/move-out processes, inspections, and tenant welcome packages.
  • Issue and manage tenant notices (maintenance, inspections, rent increases, end-of-tenancy agreements as required).
  • Utilize management software for managing tenant information, lease agreements, tenant insurance certificates and maintenance requests.
  • Assist in maintaining customer relationship management (CRM) systems to track interactions with tenants and prospects.
  • Handle incoming phone calls with professionalism and effective phone etiquette, addressing inquiries and directing calls as necessary.
  • Support the sales process by assisting in marketing efforts and showing properties to prospective tenants.
  • Coordinate maintenance requests through a Computerized Maintenance Management System (CMMS) and follow up on service completion.
  • Foster positive relationships with tenants by providing excellent customer service and addressing concerns promptly.
  • Participate in negotiation processes related to lease agreements or tenant issues as needed.
  • Dispatch and monitor contractors/vendors for repairs and emergencies.
